Attachment B Scope of Work Introduction/Background:
The Utah Office of Tourism (UOT), a division in the Utah Governor’s Office of Economic Opportunity, promotes tourism into the State of Utah through advertising, media contacts and a consumer website. Included in the UOT’s marketing is a call to action to view information on the consumer website (www.vistutah.com) that can also be requested as printed matter (i.e., brochures, maps, etc.).
Objective:
The UOT is seeking a vendor to collect, warehouse and scrub fulfillment data (names and addresses of those requesting printed information) for Utah travel brochures requested from specific online and call center sources. The vendor will need to collect and manage a secure database of requests and supply .csv files. These files will need to be accessed daily by the UOT to create labels for brochure fulfillment. The vendor will be required to maintain a website dashboard with analytics of the data collected.
Fulfillment Module Package Services minimally includes:
The proposed Fulfillment Module must minimally include the following:
1. Warehousing of inquiry records from all sources (i.e., website, reader service leads and call agent (or call center) data collection interface etc.)
2. Data hygiene of addresses per USPS guidelines (i.e., proposed system will scrub the addresses provided using USPS standards)
3. Two custom reports updated daily (Sunday to Saturday, as visitors can request information 24/7 on website(s)), on request
a. Fulfillment resource report that includes
i. Number of each individual collateral type(s) requested
ii. Date of request
b. Inquiry by file/source
4. Fulfillment Module for call agent/center data collection interface
a. Browser-based data entry form
i. Browser compatibly must minimally include the Chrome and Safari browsers.
b. New data record submission for nightly processing
5. Fulfillment Module for daily fulfillment processing
a. Determine if inquiries are duplicates to avoid unnecessary mailings
b. Produce daily .csv files for upload to secure FTP site
6. Authorization for log-in access interface/dashboard and call center form
a. Up to 2 named full access users
b. Up to 4 additional named users with restricted access – Access limited to call agent/call center data collection interface
7. Basic application service support (i.e., customer support for any questions, reports or updates of the interface module/database, etc.) included in the monthly fee.
8. Possible requested reports
a. Data for research survey monthly updates
b. Mailchimp weekly updates
c. Brochure request numbers for UOT to maintain brochure inventory
d. Comparison of requests by number for US and Canada
e. Others as needed
