About this file
This document contains answers to questions regarding a solicitation for laundry trucking services. The solicitation seeks transportation services for clean and soiled linen items between the Phoenix Veterans Administration Health Care System Laundry Plant in Phoenix, Arizona, the Northern Arizona Veterans Administration Health Care System in Prescott, Arizona, and surrounding Community Based Outpatient Clinics. Driver assistance may be provided for loading and unloading depending on timing. Carts with wheels are used for item exchange rather than pallets. Estimated time per location is five to fifteen minutes depending on volume. No storage fees apply. Points of contact at the Phoenix laundry plant are provided. While the current truck type is a 53-foot trailer, 24-30 foot box trucks are recommended for the clinic locations due to parking constraints. The solicitation does not require three years of commercial transportation experience but requests up to five years of past performance information.

27. QUESTIONS: Is this driver assist freight?
ANSWER: At the Phoenix VA the driver maybe assisted with load and unload depending upon timing (i.e., breaks, lunches, etc.); however, driver is still responsible for securing load. Prescott and CBOC’s no, driver will collect the carts in location for exchange (i.e., roll off clean linen cart, roll on soiled linen cart and secure load and return to phoenix with the soiled.)
28. QUESTION: Is it palletized?
ANSWER: Carts with wheels are utilized as an exchange system. Pallets are possible but very rare.
29. QUESTION: How long will the drops need to be at each location before they are ready to run?
ANSWER: Times would vary depending upon the individual. I would estimate, once on location a person may spend between 5 to 15 minutes depending upon volume and individual.
30. QUESTION: Do I add the storage fee per day or incorporate it into the load rate?
ANSWER: Not familiar with any storage fee. Contractor should not be “storing” property. Intent is for delivery and collection to and from Phoenix VA. i.e., collect clean linen in carts from Phoenix VA laundry and deliver to Prescott/CBOC’s return to Phoenix with the soiled linen from that same location for our processing. Our customers, Phoenix VA is serving our own CBOC’s and north hospital.
31. QUESTION: Who will be the POC for these shipments when they are ready to go?
ANSWER: When the driver arrives at the Phoenix laundry loading dock location, carts will be labeled with their destination. POC: Dan Tetreau Laundry Plant Manager, Leo Borquez Laundry Production Supervisor, Dwayne Anderson Laundry Distribution Supervisor. Laundry Office No.: 602-277-5551 Ext. 7385 Cell Phone No.: 602-361-9019 Phoenix VA Health Care System | 650 E. Indian School Road| Phoenix, AZ 85012 |
32. QUESTION: Are they EDI’d over or do they come across email?
ANSWER: We do not use any sort of software for this service to communicate.
33. QUESTION: Do your facilities have loading docks available?
ANSWER: Phoenix VA, Prescott VA and 32nd Street CBOC, yes, have and use Loading Docks. The other CBOC’s do Not have loading docks, therefore for these locations liftgate or ramp would be needed to safely off load and load carts.
34. QUESTION: What type of trucks are you currently using for this job?
ANSWER: The current truck is tractor trailer combo with 53’ trailer. However, the new statement of work includes our CBOC’s, this combination will not work in the CBOC’s parking area. 24’ box truck would be “recommended”… up to 30’ combo “may” work with good driver considering tight parking areas, or the driver parks further away from the facility and pushes/pulls the carts the distance.
35. QUESTION: Can your facilities accommodate a 53' trailer?
ANSWER: Phoenix and Prescott can accommodate 53’ trailer. CBOC’s cannot accommodate 53’ trailer.
36. QUESTION: When is the insurance required? During submission or after selection?
ANSWER: Proof of insurance will be required after selection.
37. QUESTION: Is the requirement of 3 years in commercial transportation a strict requirement?
ANSWER: There is no requirement for 3 years of commercial transportation but a requirement to provide 5 years of past performance. See question 38 for details.
38. Question: Our business has 2 years of experience in commercial transportation, but some of our drivers have 3 years of experience. Would this be sufficient?
ANSWER: Please provide as many years as possible for past performance but not more than 5 years.
