CONTINUATION PAGE

Q: Incumbent contractor currently performing these services? If similar services have been performed in the past, or if this is a new requirement?

A: No Incumbent, this is a NEW requirement with no past service history.

Q: Contractor has insurance and a VA contract in New Mexico, I can get a copy of our insurance policy Accord form, but we usually do not add someone to the certificate unless we are awarded a contract. Can you please advise?

“The contractor shall submit a Contractor’s License and must have liability insurance with New Mexico VA Health Care System listed as additionally insured (minimum $500,000.00) and Workers Compensation Insurance. License and Insurance Certificate shall be included in the technical offer?”

A: Contractor shall provide a copy of their insurance certificate to show they have the required coverage as described in the requirement does not have to have the VA added at this time. Should the contractor be awarded the contract, then an updated certificate indicating the specific location of where services are performed shall be updated and reflected on your certificate of insurance with all required coverage amount(s).

Q: Solicitation does not define "Key Personnel". You are asking for training certification of Key Personnel, but you did not define Key Personnel.

A: Contractors skilled experienced professional and/or technical personnel that are considered essential for the successful accomplishment of the work to be performed under this contract and who will be fully involved to ensure services are accomplished as required are considered as "Key Personnel".

Q: Is this minimum 1 person M-F 7:00-15:30 and 1 person M-F 11:00-19:30 and two people Sat & Sun 8:00 to 16:30?

“Service shall be required seven (7) days a week, the contractor shall provide a minimum of two (2) workers each day, in staggered shifts to perform housekeeping services at the Fisher House using the following schedule (an 8-hour workday):

A: Reference section B. GENERAL REQUIREMENTS: All work shall be performed by skilled and trained personnel who are able to read, write, speak and understand English. Service shall be required seven (7) days a week, the contractor shall provide a minimum of two (2) workers each day, in staggered shifts to perform housekeeping services at the Fisher House using the following schedule (an 8-hour workday):

Q: Is there an amount of supplies that is considered "stocked as full" as no overstocking the supplies is specifically stated on page 8 (Stock Restroom Supplies)?

A: The Contractor should keep enough stock to supply the house for at least a two-week period. This may be accomplished by a monthly re-order by the Contractor when the house first opens, but as occupancy rates increase the Contractor will have to re-order more frequently. Every attempt will be made to maximize storage space for the storage of supplies, keeping in mind that there are only two storage rooms and one storage closet for supplies and linens.

Q: Is there a cost associated with contractor employees wearing Fisher house provided clothing?

“Contractor Employees: Contractor personnel shall present a neat appearance and be easily recognized as contract employees. This may be accomplished by wearing distinctive clothing provided by the Fisher House, or by clothing bearing the company name and/or by wearing appropriate badges that prominently display the contractor’s company name and the employee’s name.”

A: No, there is no cost to the contractor. The Fisher House will provide Fisher House shirts for housekeeping staff to wear for special occasions and Fisher House name tags/badges for housekeeping to wear every day. The Contractor is expected to provide shirt/badge bearing their company name.

Q: What clothing will the contractor's employees receive?

A: A Fisher House shirt that is expected to be worn on special occasions (special event such as anniversary/open house events, or visits by dignitaries). A Fisher House name tag/badge will be provided and will be required to be worn daily.

Q: Is the Contract Manager an on-site position?

A: The Contract Manager is not an on-site position. However, they are expected to make spot checks and periodically visit the Fisher House to perform quality control (QC) of their staff.

Q: In the event of bedbugs, who is responsible for the extermination?

“After a room has been treated for bed bugs, housekeeping staff will thoroughly/terminally clean the room..”

A: The VA Environmental Management Services (EMS) will handle extermination and pest control. The Contractor cleans the room.

Q: Who provides the linen carts?

A: The Linen Contractor or Fisher House (not Housekeeping Contractor) will provide carts.

Q: How many beds per suite?

A: The number of beds varies. There are a variety of bed sizes (twin, full, queen) used in each room. The interior designer will set that up in August. There will be no more than two permanent beds per room. A roll-away bed may be brought in to rooms for families that need the extra bed, but it’s not a permanent fixture and is stored on-site in a storage room.

Q: What is the occupancy capacity per room/suite?

A: The occupancy capacity per room is four (4) people. This is a max occupancy and cannot be exceeded per suite.
