For

Project: 552-19-107 Replace Boilers Main Plant (Bldg. 147) at the Dayton VAMC

Considering recent COVID-19 health concerns and restrictions, the following is provided for your awareness, the safety of other interested bidders, and VA staff:

1. Bidding documents for the subject project will be accepted by mail or in person at 3140 Governor’s Place Blvd, Kettering, OH 45409 until (NLT) 11:00 AM EST on 07 October 2020.

2. All bids will be annotated with date/time received – whether mailed or hand-delivered. Please ensure tracking information is emailed to the Contracting Officer if/when bids are sent UPS/FedEx/USPS.

3. For documents being hand-delivered, the following procedures will take place:

a. Due to building layout, non-VA personnel are restricted from entering the building.

b. Bids will be accepted by hand between 10:00AM (Local) and 11:00AM (Local) on 07 October 2020 at the main entrance to the building by Contracting Personnel one bid at a time to ensure social distancing precautions. Please ensure to arrive early to ensure bids are accepted prior to the deadline.

c. Contractors are reminded of the 6’ recommendation and it is highly recommended to wear face shielding/masks when delivering your bid.

d. Contractors do not need to remain in the parking lot after their bid has been accepted but are welcome to call in to listen to the bid opening. A VANTS Line has been set up for this purpose.

e. The VANTS Line # is: 800-767-1750. When prompted for your access code, please enter 96988 on your telephone keypad followed by the # key.

f. Contractors may call in as early as 10:50 AM (Local Time) on the VANTS Line.

g. The bid opening is scheduled to take place at 11:00AM, once all bids are transported upstairs to the Contracting Office Conference Room.

h. Attendance will be taken to record all Contractors “present” at the beginning and end of the Bid Opening, and to confirm all bid recordings have been heard.

i. The apparent low bidder will be announced upon completion of bid opening.

j. A bid abstract will be published publicly.
