RFI QUESTION SI RESPONSE

1 The specification set is solely written around the ‘DNA’ of Spacesaver, we are aware that it also states Approved Equal. But the specifics themselves are not written in any other way but to supply Spacesaver/Viking components, which limits other competitors from providing a qualified proposal . Our ‘DNA’ equals or exceeds but is in fact different as you would expect as each manufacturer has a specific design in regards to the equipment specified. We believe it makes perfect sense for inviting us for a better price/value proposition then Spacesaver/Viking. Are there ANY critical specifications that cannot be compromised and must be absolutely met as we will present the best proposition for the Smithsonian?

The important aspect is the performance criteria, the configuration/use of the systems, configuration of “specialty” and interior cabinets, and testing requirements. Certification the submitted system will fulfill the performance requirements is required.

2 Where can we find the Drawings dated 1/13/22 Sheets 1-19 referenced in the solicitation?

All General Contractors are required to sign a Non-Disclosure

3 Where can we find the Specifications dated 1/11/22 pages 1-76 referenced in the solicitation? Neither were included with the solicitation on sam.gov.

4 On the third floor high density system, carriages are shown at 90 feet. This is not best practice for mechanical assist carriages. Can the layout be broken out into two systems for easier accessibility? If not, can carriages on larger systems be powered?

All mobile carriages are less than 46' wide. Refer to revised Sheets A105-A109.

5 Will there be a site visit before the bid deadline? The building is currently under construction and no site visit has been scheduled.

6 Only one manufacturer is listed in the specifications for high density and cabinets, how can a dealer/manufacturer become an approved equal?

Bidders shall meet or exceed specification and plan requirements.

7 The specification states that parts must be interchangeable with existing systems. Can a list of existing systems be provided including the manufacturer, type of product, and accessories that must be interchangeable?

Interchangeability is required between existing and new products on mobile storage system or fixed pallet racks as well as between new cabinetry and existing Viking 920, 420, and 220 cabinets and all their associated accessories.

8 What do I need to do in order to have Spacefile considered as an or equal regarding the high density?

Summary 1.2 (pg.58) Can we assume that non compliance to all technical specifications will not be considered as disqualifier as long as the performance criteria are met as per the answer on Question 1 in amendment 0001

All technical and performance specifications must be met in order to be acceptable.

10 Action Submmitals 1.5 (pg.59) Can we assume that all action submittals are to be provided by the awarded vendor only and only after verification and after approval of initial layout drawings?

Succesful bidder will provide Action Submittals as noted in Specification 105626-1.5 except as specifically required to include with this bid.

11 Informational submittals 1.6 A 1 (pg.60) As per question on Summary 1.2 (pg 58) can we assume that compliance is to be certified only for performance criteria? See Response to Question #9

12 Informational submittals 1.6 E (pg.60) Specifications state that collections storage equipment must be interchangeable with existing

Smithsonian casework. Can we get confirmation that the existing casework are the same dimensions as new units for the project? Please confirm that interchangeability criteria only applies to casework and not to other collection storage equipment.

13 Informational submittals 1.6 F (pg.60) It states that a prototype is needed for mobile carriage with cabinets. Are prototypes needed from awarded vendor only? Is there a particular range of carriage / cabinet that is needed from the layout provided?

Succesful bidder will provide a prototype mockup consisting of a mobile storage carriage and synchronized drive system with a museum cabinet complete with interior components for review, testing, and approval by SI.

14 1.8.2 Extra Materials (pg.60) Please confirm that only shelves are needed.

Specifications only state shelves; are extra trays, and drawers on suspensions needed as well? If so how many extra trays and drawers are needed?

Per Specification 105626-1.8.2.a page 3, the only extra materials to be furnished are five (5) shelves for each cabinet type's shelf size.

15 Museum Storage Casework and Accessories 2.A (pg. 68): Specifications state corrugated liners with ¾” adjustability within the cabinets. Our design for the tray glides are as follows: Each tray will be supported with two case-mounted glides. The glides will be fixed vertically in one inch increments. Tray glides to be no less than

.060” (16ga.) steel. Trays will fit in all cases of like type with a minimum 1/4" space between them. Trays and tray glides to be finished with slip type powder coating, white in color, for tray slide ease. Adjustability will be on 1” centers, will our design be acceptable? Please see image below for reference:

Bidders may provide 1" centers for museum storage cabinets. Finish details, quantities, and configuration of accessories, etc. will be reviewed during the submittal process with the successful bidder.

16 Manufacturers 2.1 C (pg.63): The Structural performance of the mobile shelving system is to be minimum 1488 kg/meter. Should all mobile shelving systems in the project be calculated, including the corresponding rail plan, to take this load? In case that the realistic load is lower for all or certain systems, this could strongly reduce the number of rails and with that costs as well as providing a more sustainable use of materials. Could you confirm the average loadings per type of shelving, racking or cabinets to be taken into account to design the systems accordingly?

Yes, bidders shall design the mobile storage system as indicated in the specifications and plans.

Average loadings per type of shelving, racking or cabinets will not be provided for calculations as part of this bid.

17 Materials - Mobile Storage Systems 2.3 B (pg.63): Please confirm that the below alternative for rail type system is approved to quote:

Rail is made from cold rolled steel electro zinced 60mm wide x 14 mm high. Minimum two rails are guide rails. Rail pieces are connected by using dowel pins. Sufficient rails will be provided with antitip channels to comply to height depth ratio and seismic requirements. Rails are fixed with M12 anchors and under filled with non-shrink grout as per specification . Guide rail is available in two types. Standard guide rails improves clean-ability, Inco rail is flush with finished floor reducing obstructions when using charts or trolleys.

18 Materials - Mobile Storage Systems 2.3 C (pg.63): Please confirm that the below alternative for rail type system is approved to quote:

Base consists of welded base parts 150mm high, 2,5 mm steel thickness. All shelving is mounted on cross beams welded into the basepart, with 150mm height and 2,5mm steel thickness.

19 Materials - Mobile Storage Systems 2.3 C 2 (pg.63): 4” space between the mobiles can be achieved, however these extended bumbers could be considered as a tripping hazard. We strongly advice to reduce the space between the mobiles to 25 mm (1”).

Furthermore this allows for more optimal use of space.

The 4" bumper between the mobile storage carriages is a Smithsonian mandatory requirement.

20 Materials - Mobile Storage Systems 2.3 D (pg.64): Please confirm that the below alternative for carriage and platform splice is approved to quote: Base parts can be connected with cross beam or long beam joints. Both ensure a stable connection and maintain proper unit alignment and weight load distribution.

Materials - Mobile Storage Systems 2.3 E (pg.64): Please confirm that the below alternative drive system is approved to quote: The drive system is equipped with one or two chains in the floor. This reduces the impact of torsion due to the length of the bases and therefore improves stability and smoothness in movement. In addition, this eliminates the risks of wheels slipping allowing for less loaded bases to move multiple fully loaded bases, increasing user comfort and overall performance. In case of Aisle lock this is the only available system to ensure no movement of the mobiles can take place.

Materials - Mobile Storage Systems 2.3 H 1 (pg.65): A Gear Ratio of 1 lb to 8000 lbs combined with the longest carriage in the current design means that the requirement is to move 99,000 lbs with a force of 12,4 lbs. For comparison, max. load of a semitruck with trailer is 80,000lbs. we consider the proposed weight and length combination as a potentially dangerous situation. Would you consider splitting the long carriages (both for pallet rack and cabinets) into (at least) two system, without losing capacity. We also believe that a drive system should match the weight of a carriage/system and should not be specified as one standard for all systems in the project.

Bidders shall meet or exceed specification and plan requirements. Refer to revised plans and elevations for actual carriage dimensions.

Materials - Mobile Storage Systems 2.3 I J (pg.65): We strongly advise to review if the floor deflection can be reduced in any way. Any potential drifting, whether or not reduced by a Clutch Brake, can be considered as a potential danger to users and collections. In addition, the deflection as well the Clutch brake will strongly increase the force needed to move the carriages “uphill”.

The floor slab and structural steel have been individually designed to L/600 or 3/8" whichever is less. The deflection of the slab cannot be reduced any further. FF/FL 35/25 was used for the slab-on grade and 35/20 will be used for the elevated floors.

24 Shelving Systems 2.4 A (pg.65): Four post shelving is not specified in any of the drawings. Only Case type shelving is shown on the drawings, for which no specifications are included. We therefore propose to use our standard, worldwide by museums accepted, shelving system called Sysco for the sections M and N on the drawing. Details are available on request.

Refer to revised plans and equipment schedule indicating four post shelving requirements.

25 Cantilever Shelving 2.4 B (Pg.66): The provided specifications are technically very specific however do not provide any information on required loadings as well as how and for what this type of shelving is used. In order to determine if an alternative system complies to the performance criteria, we would like to receive more information on these items.

Clarification 01 deletes the reference to 2.4.B Cantilever Shelving System in Specification

105626.

26 Wide Span Heavy Duty Shelving 2.4 C (pg.67): There is no reference to “wide Span

Heavy Duty Shelving” in the available drawing set. On the drawings there is however reference to “Pallet Rack”, for which no specifications are provided. Please clarify.

"Pallet Rack" and "Wide Span Heavy Duty Shelving" are used interchangeably in this bid package.

27 Cases 2.5 A 2 D (pg.68) Shelf load is defined as EDL 100 lbs while in in 2.5 A 4 K a shelf load of 300 lbs is specified. Please clarify.

Bidders shall meet or exceed specification and plan requirements as required for each cabinet type drawer, tray and shelf load requirement. Refer to Clarification 01-02 for Cabinet "L".

28 Museum Storage Casework and Accessories 2.5 4.J (pg. 70): Can the tray pulls/label holders in the image below be acceptable? How many label holders per tray?

Pulls/label holder will be powdercoated. Full width tray will have 2 pulls per tray, half width will have 1 pull per tray.

Unless indicated otherwise in plans or specifications, full width trays or drawers will have two (2) drawer pulls/handles with label holder; and half width trays or drawers will have one (1) drawer pull/handle with label holder. Finish details, quantities and configuration of accessories, etc. will be reviewed during the submittal process with the successful bidder.

29 Flat Files 2.5 5.B (pg. 71): Will a ganglock (a lock to secure all the drawers in flat file with one locking device) be acceptable for the flat file or does each individual drawer need its own lock?

One "ganglock" locking device per flat file unit to secure all drawers is acceptable. Each individual flat file drawer does not need its own lock.

30 POWDER COAT PAINT FINISH 2.6 A (pg. 74):

Cleaning of steel prior to powder coating is only applicable on oiled material. Due to the unique production method using unoiled, non-galvanized steel, we do not need any pre-treatment prior to powder coating for our Compactus® XTR bases, shelves and frames, allowing for a much more sustainable product without compromising on quality of the powder coated finish. In addition, the pre-treatment process needed to ensure a quality finish largely depends on the type and quality of materials used.

Please therefore confirm the indicated process is indicative only to ensure a quality finish as per the described specifications.

Bidders shall meet or exceed specification and plan requirements. Finish details, quantities and configuration of accessories, etc. will be reviewed during the submittal process with the successful bidder.

31 Cleaning and protecting 3.3 B (pg. 75): From experience in comparable projects we prefer to be the last subcontractor in the rooms prior to customer handover. Can you confirm that this will be the basis on which we can quote?

No, SI cannot confirm.

First Floor: PR-3 – No pallet rack manufacturer makes 72” deep racks. Will 2 - 36” deep units back to back suffice? Please note when units are back to back a minimum of 3” gap is needed from one unit to the other so end user can adjust shelves.

Refer to revised Sheets A101-A102 and revised pallet rack schedule.

33 Third Floor: Unit A. There is a quantity discrepancy from the drawing and the equipment schedule. Which is correct the drawing or the schedule? Drawing shows

Third Floor Cabinet Type A has a quantity of 308 cabinets. Refer to revised Sheets A105-A109.

34 Third Floor Unit C. There is a quantity discrepancy from the drawing and the equipment schedule. Which is correct the drawing or the schedule? Drawing shows 19 units. Equipment schedule has 20.

35 Third Floor Unit D. There is a quantity discrepancy from the drawing and the equipment schedule.Which is correct the drawing or the schedule? Drawing shows 15 units. Equipment schedule has 90.

37 Third Floor Unit E-1/E-2. There is a quantity discrepancy from the drawing and the equipment schedule and also does not indicate on the drawing the designation of E1 or E2, all units drawn are marked as E. Which is correct the drawing or the schedule?

Drawing shows a total of 171 E units. Equipment schedule has 185.

Third Floor Cabinet Type E-1 has a quantity of 106 cabinets.

Third Floor Cabinet Type E-2 has a quantity of 79 cabinets.

38 Third Floor Unit F. There is a quantity discrepancy from the drawing and the equipment schedule. Which is correct the drawing or the schedule? Drawing shows 72 units. Equipment schedule has 79.

Third Floor Cabinet Type F has a quantity of 75 cabinets. Refer to revised Sheets A105-A109.

39 Third Floor Unit O. Equipment and elevation say 4 tier flat file but what is drawn in the elevation is 5 tier. Elevation also shows 5 tiers side by side, should this be P on the equipment schedule and O is supposed to be P?

Third Floor Cabinet Type O are 3-tier flat files. Refer to revised Sheets A105-A109.

40 Third Floor Unit P: Equipment schedule states 4 tier but elevation says 3 tier but drawn as 4. If our assumption is correct that that this should actually be unit O, elevations show 4 units side but on drawing it only has 3 units side by side. Which is correct the elevation or the drawing?

41 Third Floor Unit T. There is a quantity discrepancy from the drawing and the equipment schedule. Which is correct the drawing or the schedule? Drawing shows

Third Floor Cabinet Type T has a quantity of 261 cabinets. Refer to revised Sheets A105-A109.

42 Page 8, 2.4. please verify the required shelf load capacity for Section 2.4 is 20 pounds per foot. Specification calls for 200 pounds per foot. Typically this sype of shelf is 20 pounds per foot.

Specification 105626 page 8, 2.4.A.5 (Four Post Shelving) should be corrected to read: "Shelves must accommodate loads of 20 lbs. per lineal foot of shelf with maximum deflection .10" at mid span."

43 Page 10, C Widespace Shelving. Please verify the minimum shelf load capacity.

Specification calls for minimum 9,000 lbs capacity uniform.

Specification 105626 page 10, Wide Span Heavy Duty Shelving should have a maximum uniform beam pair capacity up to 9,650 lbs. dependent upon overall beam span. Shelving shall conform to current RMI standards and allowable weight distribution per pair of beams with maximum deflection of beam span.

44 Page 11, 2.5 Museum Storage Cabinets. Please verify that 1" centers, rather than 3/4" centers will be acceptable to match all existing cabinets.

Bidders may provide 1" centers for museum storage cabinets.

45 Page 13, 2.5 Museum Storage Cabinets, 4. Latching. Please verify Stainless Steel latches will be acceptable.

1/2" centers. Please verify 1" centers, matching all existing cabinets, will be acceptable.

a. Perforated Decking: Decking shall not be fastened to the beams. Manufacturer's standard finish options to be submitted for review and approval by Smithsonian.

Decking to be finished with no sharp edges.
