FPC ALDERSON DELIVERY SCHEDULE –

Requirement: Subsistence

Solicitation# 15B10126Q00000006

Delivery and Submission Instructions

FPC Alderson Food Service Department requires delivery of all products within 30 days of receipt of order (ARO). Deliveries must be made between 7:00 AM and 2:00 PM EST.

Federal holiday deliveries will not be accepted. Delivery schedules must be pre-arranged with the receiving warehouse.

Solicitation Package Submission:

The completed solicitation package must be returned no later than 8:00 AM Eastern Daylight Time on November 24, 2025.

Vendors must submit quotes in .pdf format to Ashley Tabor, Procurement and Property Specialist, via email at atabor@bop.gov ONLY. Fax, hand-delivered, or mail-in quotes will not be accepted. Quotes MUST be valid for 30 calendar days from the closing date.

Delivery and Acceptance Instructions:

• Upon award, the Food Service Warehouse must be contacted prior to delivery to approve or adjust the delivery schedule. Delivery schedules will be strictly enforced.

• Failure to deliver within the established timeframe will be considered non-conformance with the contract terms.

Delivery Requirements:

1. All items must be closely inspected before acceptance.

2. All deliveries must be palletized for ease of access.

3. Non-frozen, perishable foods must be delivered between 34°F and 41°F.

4. Canned goods must be delivered above 34°F and must not be frozen.

5. Frozen foods must be delivered at 0°F or below. Any product indicating prior thawing will be refused.

6. Certified religious diet items must be clearly marked with the Kosher Symbol on individual packages. Failure to do so will result in refusal.

7. Receipt of delivery may be conditional for a period of three (3) days to allow adequate examination and testing.

8. Some items may require thawing and cooking to determine specification compliance.

9. Items that do not meet specifications will be refused.

10. If the product is not accepted, in accordance with FAR 52.212-4(a), the Government may require repair, replacement, or reperformance of nonconforming supplies or services at no increase in contract price.

11. Items found unacceptable after conditional receipt must be picked up at the vendor's expense within two (2) weeks of noncompliance notification.

12. If the product is not picked up within two (2) weeks, the product will be disposed of by warehouse staff.

Inspection and Acceptance:

Items must meet the specifications outlined in the solicitation and award. All items will be closely inspected before acceptance. Please refer to FAR 52.212-4(a) Inspection and Acceptance for more details:

Past Performance Considerations:

Failure to meet delivery schedules without an excusable delay, or failure to meet contract specifications, will negatively affect the contractor's past performance record. Past performance information may be used by the Government to determine future award decisions. Additionally, non-compliance may result in the quoter being found non-responsible for future requirements.
