Instructions for Offerors: The following are minimum features and functionality requested by the County. For each line item, indicate if the functionality is provided as described below in the legend and provide a description of how the Solution provides the requested feature or if an alternate Solution is proposed. Offerors should prepare to, at a minimum, present all of the features and functionalities below during a demonstration if requested by the County.
County reserves the right to award to any Offeror who can provide the requested functionality or equivalent or alternate functionality acceptable to the County.

User-friendly web-based interface for database end-user, to search, access, and update information for collection and individual art works.

Flexible record fields to encompass a variety of information, such as artwork size, location, medium, artist information, maintenance status, etc.

Allow for attachment and unlimited storage of external and media files such as images, videos, PDFs, and spreadsheets.
1.8 Allow County users to add collections records and edit existing records, including attachments

User-friendly, web-based solution, such as web site or app, for public access to information on the collection and individual art works.

Various reports can be run, and/or filters be applied, by end users at any time to view and/or access specific subsets of the collection according to criteria such as:

Software provides individual login accounts for each user and is capable Single Sign On Active Directory integration for user authentication.

Offeror will provide Software enhancements and updates free of charge whenever released.

Software should be designed to be accessible for people with disabilities and verifiably compliant with applicable standards and laws, which may include but is not limited to, sections of Section 508 of the Rehabilitation Act of 1973, which defines standards for electronic and information technology and web-based applications and Web Content Accessibility Guidelines, which defines how to make Web content more accessible to people with disabilities.
