About this file

This document is a Frequently Asked Questions (FAQ) guide for the State of North Dakota's car rental program, specifically detailing the contractual relationship between the state and two rental car companies: National Car Rental and Enterprise Rent-A-Car. The document provides comprehensive guidance for state employees and departments about utilizing these rental car services, with contact information for account management provided by Dawn Roller, the Enterprise representative.

The contract offers state employees multiple reservation methods, including local branch booking, online platforms, and travel agent services, with a specific state account number (XZ63WND) for business rentals. Key benefits include cost savings (estimated at over 20% compared to personal vehicle reimbursement), reduced insurance liability, and comprehensive coverage that includes collision damage waiver (CDW) and liability for business travel. The program supports various rental needs, including one-way rentals, monthly rentals (calculated at 20 times the daily rate), and provides nationwide service with over 8,000 locations. A separate personal rental account (NA63ND1) is available with discounted rates, though personal rentals do not include the same insurance coverage as business rentals.

About the State of North Dakota Car Rental Program with National Car rental and enterprise rent-a-car( Q.

How do I rent a car from National or Enterprise®?

A.

There are several ways to reserve a vehicle through National or Enterprise®:

· You can reserve vehicles via your travel agent

· You can reserve by calling the local branch directly

· Via your company’s booking tool

· On line at www.enterprise.com or www.nationalcar.com Q.

Do I accept insurance?

A.

No. CDW and Liability are included in the rates for business travel.

Q.

What is required when obtaining the car?

A.

A valid driver’s license and credit card are required. Debit cards are accepted at many locations but are treated as cash and additional requirements may be necessary. This varies by location. Please contact the local branch should you have questions regarding debit cards or cash rentals. Billing options are available. Please contact your account manager for further details.

Q.

What happens if an employee completes a rental without using the State of North Dakota contract number?

A.

Without booking through an approved channel or giving the rental employee the State of North Dakota account number; then the terms and conditions will not apply. This further illustrates the importance of booking your reservations through the approved channels or making sure that you reference the State of North Dakota account number XZ63WND.

Q.

Are one-way rentals allowed?

A.

Yes. Drop fees may apply. There is no drop fee for vehicles dropped within the State of North Dakota.

Q.

What is the claim process if an employee has an accident with an Enterprise® or National car?

A.

Please contact the local office where you rented the vehicle and they will fill out an accident report.

Q.

What is the advantage to adding Enterprise Rent-A-Car® as a preferred supplier?

A.

Enterprise® has more than 8000 locations throughout North America and this allows you the ability to rent in your neighborhood, at work, an even at some airports your primary provider may not service. This convenience can also save you time and money instead of driving your own vehicle or going to an airport location to pick up a car for local travel.

Q.

Why rent a car from Enterprise® instead of getting reimbursed to drive my own vehicle?

A.

The State of North Dakota will save money on travel (often more than 20%), reduce insurance and liability risk, gain cost-effective alternative to expensive airfare, protect company image, ensures accurate accounting and invoicing, and enhances employee satisfaction.

Employees will avoid costly wear and tear on their personal vehicle, have peace of mind with 24-hour roadside assistance, experience safety, comfort, and perhaps have the opportunity to drive a newer car. Enterprise® offers free pick-up, nationwide, so with our more than 7,000 locations, we’re nearby.

Ask your business rental sales executive for a free analysis comparing your current mileage reimbursement program to outsourcing rentals with Enterprise.

Q.

My department has the need for monthly rentals, how should these be handled?

A.

Monthly rentals are available with all car classes. The monthly rate is calculated as 20 times the daily rate.

Q.

How do I reserve a vehicle with the Month-or-More Rental Plan?

A.

You can reserve by contacting the Enterprise near you or by calling your account manager, Dawn Roller at 701-219-9495 or by emailing at Dawn.j.roller@ehi.com.

Q.

Can I use the corporate discount for personal rentals?
