About this file

This document is a Questions and Answers (Q&A) file for Request for Quote (RFQ) 2031JW26Q00008 for a UCE Hotel Venue. The RFQ seeks a hotel venue for an examination event with specific requirements, including three testing dates over five years, all to be held at the same hotel venue. The current services are under contract with 12 Spies Management LLC. Key details include the need for candidate testing rooms (two to three per session), meeting spaces totaling approximately 10,000 sq ft, and accommodation for panel rooms, offices, and AV tech rooms. The events are described as examinations in the request for quotation (RFQ), with the number of anticipated attendees varying by session. Vendors are asked to provide multiple venue options with pricing sheets and letters of commitment, with flexibility in meeting space configurations and technology requirements.

All three dates, for all five years shall be held at the same hotel venue.

4 N/A N/A N/A Would you be able to send over your meeting agenda with the # of anticipated attendees please?

The events are not meetings. It is an examination, as laid out in the request for quotation (RFQ). The number of anticipated attendees will vary by session. We cannot provide a more detailed agenda or estimated number of attendees at this time beyond what is estimated in the RFQ.

Attachment 2 - Section

B

On page 23 you state up to 3 candidate testing rooms, but on page 7 you state “…and the two (2) candidate testing rooms.” Can you confirm if you will need 2 or 3 candidate testing rooms included in the response

Page seven (7) should say three (3) testing rooms. The solicitation will be amended to correct this error. The OCC will need between one (1) and three (3) testing rooms for each session, depending on number of testing participants.

UCE Hotel Venue

Part 1, section 1 4

You’re looking at several different metropolitan areas. Would you consider holding the program in different locations if there was a “tie” between multiple venues? i.e One venue gets the spring program, another would get the summer program, and another would get the fall.

See answer to question #3.

8 N/A N/A N/A

For the meeting space do you require 20 panel rooms for 60 people and 4 offices and AV Tech rooms? The meeting space we have is too small to accommodate 20 mtg rooms for 60 people, please advice that you require 10.000 sq ft of meeting space.

The room quantities are intended to reflect the per-day need over four (4) days. See final paragraph on page six (6) of RFQ for narrative. We need one (1) office, up to three (3) candidate testing rooms, up to fifteen (15) panel meeting rooms, and one (1) evaluator meeting room. The RFQ does not have a requirement for an "AV Tech Room," only that the office, meeting rooms, and candidate testing rooms have the ability to be configured with requisite technology (wireless internet, power supplies at each table, etc. as outlined in the RFQ).
