About this file
This is a Questions and Answers document for Solicitation No. 030ADV26R0035 concerning the procurement of new robotic systems for a Library.
The Q&A clarifies that the new robotic units will replace existing equipment of the same type with substantially equivalent weight, dimensions, and power consumption, eliminating the need for structural, electrical, or heat load assessments by the contractor. The Library will not require system integration services, client computers and monitors, software upgrades, or floor tile cutting for cable pathways. The contractor is not responsible for ensuring compliance with ambient noise or sound pressure level requirements. Regarding configuration, pricing shall commence with a base configuration of four VTR shelves, with an additional eight shelves available as a selectable option. Maintenance service pricing should cover only the newly purchased hardware, not the Library's entire robotic fleet. The new system will operate independently using existing control software (MMDcServer and DcClient 1.22 – 13062025), with no contractual requirement for integration with existing robotic systems or third-party integration services. The control software operates on a Windows Platform. These responses establish the scope boundaries and clarify that contractors should not propose services beyond equipment delivery and basic installation for the new robotic systems.

New Robot Questions & Answers (Q&A)
Solicitation No. 030ADV26R0035
Question #1: Has a structural load assessment been completed to verify the raised floor’s load-bearing capacity, and if no, is the contractor responsible for performing the assessment and ensuring the floor is structurally adequate to support the equipment?
Answer #1: The new units will replace the existing installed equipment of the same type and have substantially equivalent weight and dimensions. Therefore, no increase in floor loading is anticipated.
Question #2: Has an electrical load assessment been completed to verify that sufficient electrical capacity is available to support the new robotic systems? If not, is the contractor responsible for evaluating and ensuring that adequate electrical capacity is available for installation?
Answer #2: The new units will replace the existing installed equipment of the same type and have substantially equivalent power consumption. Therefore, no increase in electrical load is
Question #3: Has a heat load assessment been completed to evaluate the environmental temperature impacts created by the additional robotic systems, and is the contractor responsible for providing that assurance?
Answer #3: The new units will replace the existing installed equipment of the same type and have substantially equivalent space heat output. Therefore, no increase in space head load is
Question#4: Are there any ambient noise or sound pressure level (SPL) requirements that the robotic systems must not exceed, and is the contractor responsible for ensuring compliance with those requirements?
Answer #4: The contractor is not responsible for ensuring compliance with ambient noise or sound pressure level (SPL) requirements.
Question #5: Does the Library require system integration services for the new robotic systems to include broadcast router integration, serial router integration, communication cabling and associated infrastructure, encoders, and frame synchronizers?
Answer #5: The contractor will not be required to provide system integration services.
Question #6: Does the Library require a client computer and monitor to support each new workstation provided under this purchased?
Answer #6: No
Question #7: What version of control software is the Library currently using to operate its existing elevators/robotic systems? If beneficial, does the Library want the contractor to upgrade all client software to a single version?
Answer #7: The Library uses DcServer and DcClient 1.22 – 13062025. No additional contractor-provided software upgrade services are required under this contract.
Question #8: Does the Library wish to purchase eight (8) VTR shelves for the DSR-based configuration, or only retain the capability to expand from four (4) shelves to eight (8) in the future?
Answer #8: Additional eight (8) VTR shelves may be provided as a selectable option. Pricing shall start with a base configuration of four (4) VTR shelves.
Question #9: Does the Library wish the contractor to submit pricing for maintenance services covering only the new robotic units, or for the Library’s entire fleet of robotic systems?
Answer #9: Only the newly purchased hardware shall be covered.
Question #10: Does the Library require the contractor to cut the floor tiles beneath the robotic systems to provide a pathway for the communication cables?
Answer #10: No.
Question #11: Please share the name of the existing control system which the new robotic system is intended to integrate. Alternatively, does the Library intend to use the SAMMA software?
Answer #11: MMDcServer and DcClient 1.22 – 13062025
Question #12: Does the Library plan to integrate the new robotic/elevator system with the existing systems into a common control system?
Answer #12: At present, each elevator/robot unit operates independently of other units. There is no contractual requirement for integration with existing robotic systems.
Question #13: Does the Library plan to obtain integration services from the third-party control system manufacturer, or should the contractor includes those services in its proposal?
Answer #13: No
Question #14: Is the third-party control software a client-based application, or does it operate in a different environment? If so, is it a Windows, Linux or Macintosh based application system?
Answer #14: Windows Platform
