About this file

This is an addendum document issued by the Town of Farragut, Tennessee for RFQ No. 2026-08 regarding a website redesign project for VisitFarragut.org. The project encompasses a complete website redesign while maintaining the existing brand palette and logo, along with search engine marketing strategy development. The website currently contains approximately 200 pages, which vendors should plan to maintain unless they propose an efficient alternative solution. Key project milestones include establishing the foundational framework and launching high-impact pages (Homepage, Events, and Visitor Guide) within six months, with complete design and optimization completion within 12 months. The project includes integration with existing third-party tools such as social media feeds, SEO tools like Yoast, and online forms with anti-spam measures. A pre-bid meeting was held on May 14, 2025, and all communications regarding the RFP must be directed to Anissa Pratte, Staff Accountant, at apratte@townoffarragut.org. The contract term spans three years with defined short-term and long-term goals focused on functionality, mobile and desktop optimization, and site speed performance.

The total budget allocation is $30,000 annually for website redesign and marketing components combined, with an additional $10,000 allocated annually for maintenance and hosting over the three-year contract period. The town currently allocates $800 per month for search engine marketing efforts and maintains a newsletter subscriber base of 810 contacts. Regarding vendor qualifications, the Town of Farragut will consider submissions from qualified Canadian vendors and does not require current government references, though prior public sector experience is preferred. The website must achieve WCAG Level AA accessibility compliance by April 2027. The town is flexible regarding content transfer methodology and encourages vendors to submit case studies and previous work demonstrating relevant experience, particularly in search engine marketing campaigns.

Addendum 2

RFQ No. 2026-08

VisitFarragut.org Website Redesign 05/20/2025

The proposer acknowledges this addendum shall modify and become a part of the original solicitation document. The Proposer further acknowledges that should it be determined at the time of the bid opening that the Proposer has failed to acknowledge receipt of ALL issued addenda; the Proposer’s Bid submission shall be rejected. The Proposer understands that any verbal representation made or assumed to be made during any oral discussion held between Proposer’s representatives and any Town personnel is not binding. Only the information issued in writing and added to the specifications by an official addendum is binding.

Q1. Do you have any specific security requirements or compliance standards beyond ADA accessibility?

A1. ADA Accessibility: The discussion surrounding ADA accessibility is ongoing. As of right now our page is required to be at WCAG level AA by April of 2027.

Q2. Who will be in charge of transferring your current website content to the new site?

A2. Staff is open to suggestion on the best way to handle transferring of data.

Q3. Apart from the SEM strategy, does the town want to see the contractors past examples of marketing campaigns specifically those utilizing SEM?

A3. Vendors are encouraged to include any previous work or case studies that demonstrate their qualifications and relevant experience.

Q4. Regarding Budget: A. Could you please provide a breakdown of the $30,000 allocation between the website redesign and the marketing components? B. Is the $30,000 budget for the redesign and marketing a one-time allocation, or is it an annual allocation over the 3-year period? C. Regarding the $10,000 allocated for maintenance and hosting, is this a total budget for the 3-year period, or an annual budget?

A4. A. We will not be providing a specific budget breakdown between website redesign and marketing efforts. B & C. The stated budget represents an annual allocation.

Q5. There are 200 pages on the website. Will you be removing some of the pages? If so, how many pages will be removed?

A5. The number of pages on our site will vary depending on how many businesses are currently active in town. Unless the vendor can offer an efficient solution that highlights all our business partners and events using fewer pages, they should plan to maintain around 200 pages on the site.

Q6. In regards to the RFP for Website Redesign, would you accept/consider submissions from qualified Canadian vendors?

A6. Yes, we are open to considering submissions from qualified Canadian vendors.

The location of the company does not affect our evaluation, provided all requirements outlined in the RFP are met and the vendor is able to comply with any applicable legal, contractual, and logistical obligations.

Q7. You ask for three references - all associated with public (we assume government) experience. We have had a lot of government experience over the years (Lee County Florida EDC; Gadsden County Florida TDC, St. Johns County Florida VCB; etc.) pre-COVID, but none since. Unfortunately, no reference contacts remain at the "public" entities in which we partnered. Are we disqualified to submit an RFP given we have no current "public" references?

A7. We prefer to see government experience but will consider experience from other entities.

Please see attached transcript from the 05/14/2025 Pre-Bid meeting
