About this file
This document is an addendum to a Request for Proposals (RFP) issued by Dunn County, Wisconsin for a new countywide Enterprise Resource Planning (ERP) software and implementation. The RFP is for a cloud-based/SaaS ERP system and associated implementation, training, and ongoing support services. Data conversion and migration will be a key component of the implementation. The RFP has a tentative go-live target of mid-August 2025 with cutover in mid-October 2025. Dunn County is currently using the SAP ECC (ERP Central Component) product. The County will not waive the requirement for hard copy proposal submissions or reduce the number of requested hard copies. Proposals are due on October 1, 2024 at 2:00 pm local time, and Dunn County reserves the right to terminate the selection process at any time and reject any or all offers.
Dunn County has not confirmed a final budget for this ERP initiative, but is seeking the best value solution. Vendors are encouraged to provide detailed and accurate cost proposals. No client-side consultant is engaged in the RFP preparation or selection process. Over the past two years, Dunn County has processed 686 and 705 W-2 forms respectively.

PROJECT: Enterprise Resource Planning (ERP) Software and Implementation
PROJECT#: 2024-16
Question and Answer
1. In an effort to follow Federal Government climate change and reduced carbon emission policies would the County consider email submissions of the proposal and waive the requirement for mailed hard copies/USB?
• No, the hardcopy requirement will not be waived. See response to question # 2.
2. If hard copies are required, would the County consider reducing the number of requested hard copies from 9 to 2-3 with USB copy for sharing?
• The hard copy requirement number will not be reduced. The County recognizes that a response to an RFP of this nature can be substantial. The County encourages all proposers to be judicious in their inclusion of materials and include only items that are directly related to requirements and requested items outlined in the RFP.
3. Does the County have an anticipated Go-Live target date(s)?
• The go-live is subject to change, but tentatively scheduled for mid-August 2025, with cutover occurring mid-October 2025.
4. Has the City identified a budget for this initiative, and if so, is it possible to share?
• Tentative numbers have been discussed but not fully confirmed. The County seeks an ERP solution that reflects the best value to the County. All vendors are encouraged to submit as detailed and accurate a cost proposal as possible. The final budget allocated to the ERP project is contingent upon agreement to the best and final bid offers received by any shortlisted vendors.
5. What SAP product is the County currently using?
• SAP ECC (ERP Central Component)
6. Is there a client-side consultant engaged with Dunn County in preparing the RFP and/or assisting in the selection process? If so, who?
• No. All work related to the RFP and selection process is being completed internally.
7. How many W2 are processed by your organization?
• Past two years 686 and 705 W2s, respectively, were processed.
