Book Personalization Facilities Site Visit Information and Registration

As described in Solicitation Number 19AQMM23R0004, the Department of State invites potential Offerors to site visits at the Book Personalization Facilities (BPF). This document provides guidance regarding the site visits and registration information. Please complete and return the form on page 2 according to the instructions provided.

SCHEDULE

The Centers will provide site visits at the following date/times (NOTE: All times local):

Arkansas Passport Center (APC) Tucson Passport Center (TPC) Date/Time: Wednesday, June 21, 2023 at 9:30 a.m. Date/Time: Tuesday, June 27, 2023 at 9:30 a.m.

Address: 191 Office Park Dr, Hot Springs, AR 71913 Address: 7333 E Rosewood St, Tucson, AZ 85710 Duration: 9:30 a.m. to 11:30 a .m. Duration: 9:30 a.m. to 11:30 a.m.

GENERAL GUIDANCE

1. Participants are encouraged to arrive at least 15 minutes early in order to complete check-in with security.

2. Demonstrations/capabilities briefs of any kind are NOT allowed. One-on-one sessions will not be scheduled.

3. Participation for the site visits are limited – each potential offeror or team can register a maximum of three (3) personnel per company. It is acceptable to register less than 3 individuals.

4. Questions specific to each BPF may be received during the site visits. Q&A’s will be posted to SAM.gov.

5. No photography or recording devices are allowed.

6. No cell phones or electronic devices (such as iPads) are permitted in the facilities. The centers do have a limited number of lockers that can be used for personal devices on site.

7. The Government will not compensate industry participants for travel, lodging or any other expenses associated with the site visits.

SECURITY AND SITE VISIT REGISTRATION

No security clearance is required in order to participate in the site visits. Visitors must be pre-registered and present a valid government-issued photo ID (i.e., driver’s license or passport). Visitors to the centers will be issued a visitor’s badge and must be escorted during the duration of the site visit.

Potential offerors participating in the site visit complete this registration form and submit it to the Contracting Officer via email at MejiaKJ@state.gov. Registration must be received not later than 16:00 EST, Friday, June 16, 2023. The Government reserves the right to deny late registrations.

Additional lines may be added to the above form based on site visit attendance. For example, an entity may have 3 representatives attend the APC site visit but may decide to have a different individual attend TPC thereby necessitating 4 names.
