Questions and Answers – 8.24.20

1. What is the approximate utilization rate of your current EAP services?

There were approximately 3,656 referrals for counseling services over the past two years.

2. How many counseling sessions were provided to your members in the last year?

That data is not available to us.

3. How many Critical Incidents occurred in the last year that required an EAP crisis response?

There have been zero critical incident on-site responses delivered in the past three years.

4. How many on-site training sessions are required annually and at what facilities?

Each listed facility may request one on-site training session per calendar year.

5. 130 facilities are listed, will on-site training be required at each physical location? How many sessions required at each location?

Each listed facility may request one on-site training session (e.g., 1-2 hour in-person presentation) per calendar year.

6. Please provide a breakdown of types of training (wellness, EAP orientation, supervisor, etc) and number of sessions per facility per year and what format (ie. In person/on-site, or webinar).

Within 30 days of contract award, the Contractor will make a representative available to the BOP to provide up to three live 2-hour webinars in conjunction with the National EAP Coordinator to provide an overview of EAP services.

Each listed facility may request one on-site training session per calendar year; the topic of this training will be specified by the local EAP Coordinator.

The Contractor will develop and deliver to the agency one 30-60 minute webinar per month.

Within 60 days of contract award, the Contractor will provide access to a variety of self-paced training courses to help participants develop effective work-life skills; these training courses will be available through the Contractor's webpage.

7. Text messaging and cell phones now have a TTY mode that allows callers to communicate without the need for a dedicated TTY line. Can we discontinue the requirement for a dedicated TTY line?

Use of alternative telecommunications technology to facilitate access by hearing impaired callers may be approved by the Contracting Officer's Representative (COR).

8. How many health fairs per year and at what locations is the EAP required to attend per year?

SOW page 12 mentions annual training events at each BOP location. How long is the training event and what topics are required? How many topics will the EAP train on during these training events?

Each listed facility may request one on-site training session (e.g,. 1-2 hour session) per calendar year; the topic of this training will be specified by the local EAP Coordinator.

9. Page 12 also mentions two (16 Hour) high level leadership and communications training per year. How many facilities will these training sessions be required to be held at? Are these events held about every 6 months? Will we be given the topics desired to cover for these?

Probable locations for these training events are: Aurora, Colorado, or Washington, DC. It is anticipated the training events will be held approximately every six months. The contractor will work with the BOP to identify training topics and develop content.
