Questions for Solicitation 140P5420R0016
Catalog Archives for the San Juan National Historic Site (SAJU)
1. On page 5 of the Scope of Work, in the Schedule I believe the quantities need to be updated. For example, it is listed that we should provide pricing for 10 LF. Should it say 160 LF? Should the Qty be 160 and we price it by the sq. ft? Quantities for the Base Year and the Optional Year. Price schedule states (taking first CLIN as an example) in CLIN 2A, quantity: 16 multiplied by 10 linear feet (in the description) is 160 linear feet for the base and another 160 linear feet for the option. Amount is estimated because assessment states 157 linear feet.
2. What would you estimate the collection to be worth? We need that to get a shipping cost. Collection is appraised at around $1,000,000.
3. What percentage of the documents are in Spanish? On this batch, only some of the architectural drawings will be in Spanish. Most of the documents are NPS produced or in the course of government business so about 95% of them should be in English. Of the architectural drawings, there might be a 75-85% in English and the rest in Spanish (there might be copies from Dutch and French repositories but those are marginal, maybe 10-20 drawings in total.
4. When the Processing Plan was written, was an inventory of the documents done as well? Yes. Inventory will be available as Attachment 004 of the solicitation. It will be included in Amendment 001 to the solicitation.
5. On page 6, you mention an automated Finding Aid. Can you let us know what you mean by that? In the past we have written the Finding Aid in a Word Document and provided an accompanying Excel Spreadsheet. Would that suffice? Yes. That is what we refer to. Once finding aids are considered final, a PDF version of them will be requested so we can post them in social media.
6. Are there any non-document items in the collection? Objects? No. Everything in this collection is paper-based, digital (CD’s) or film based (microfilm/ microfiche). There is a small collection (about 100 glass negatives from the beginning of the 20th century.
7. Are all the documents already in boxes and are ready for shipment? Would we have to prepare the boxes for shipment ourselves? Documents are in archival boxes or corrugated plastic boxes. Large size items (architectural drawings) are not on boxes. They will need to be packed for shipment.
