About this file
This individual park processing plan covers the cataloging of the San Juan National Historic Site Resource Management Records collection, comprising 317 linear feet of documents from 1860-2016. The collection is to be processed on-site at the park and arranged into nine series and various subseries relating to resource management, historic preservation, interpretation and education, museum and archival records, archaeology, and visual materials. The plan outlines the proposed hierarchical description, physical processing including rehousing and preservation for the collection, and cataloging activities to be completed using the ICMS system. An estimated 190 linear feet will require cataloging above the file level and 80 linear feet at the file unit level. Specialized services for 240 hours are required to re-sort photographs and oversize materials and provide preservation for affected items. The related federal contract opportunity is for cataloging the park's archival holdings under solicitation number 140P5420R0016 issued by the National Park Service Southeast Region.

Physical Processing Plan
1. Arrange collection in accordance with hierarchy shown above. Additional accretions of similar material will be physically processed as new subunits. For example: Series I, Subseries B: Coded Files, has been subdivided by date ranges Sub-Subseries 1: 1949-2008; Sub-Subseries 2: 2009-2015, any further accretions would later be added as needed (e.g. - Sub-Subseries 3:
2016-2025; etc.). However, photographs which are currently arranged by an assigned number will be physically re-arranged and labeled by SAJU supplied subject headings. Oversize materials will be physically re-arranged and folders labeled by project; any “non-project” oversize materials will remain part of Series IX.
2. Cull duplicate and non-historical/non-archival materials from the collection. Disposition of these materials will be overseen by SAJU Cultural Resources Program Manager, Felix Lopez.
3. Rehouse in acid-free folders and boxes, as necessary; remove oversized materials (e.g.
drawings) for flattening and housing in acid-free boxes or in metal drawers, with separation sheets placed in both the original and new locations.
4. Rehouse associated photographic material in polyester sleeves; rehouse sleeves in acid-free folders and boxes.
5. Rehouse audiovisual materials in acid-free boxes.
6. Identify fragile or unstable materials, such as newspaper clippings, and create preservation photocopies.
7. Remove rubber bands, paper clips, and staples that are rusty or likely to rust, and other foreign objects.
8. Label or re-label all boxes, folders, and cases, as needed.
