About this file
This document contains questions and answers regarding a solicitation for copier lease and maintenance services. The National Park Service Intermountain Region is seeking to relocate four existing copiers to a new Federal Center location and upgrade paper capacity on some devices. The contractor would provide a quote to move all copiers to the new location, which does not need to be done at the contractor's expense. A flat-rate maintenance plan for the copiers would also be acceptable. The solicitation number is 140P1223Q0098 for copier lease and maintenance services from fiscal year 2023 through 2027. Disregard is noted for an incomplete line item on the statement of work.

In the PDF attachment A for the specs, it has listed the two standard 500 sheet paper drawers as well as two additional paper drawers for up to 12 x 18 size paper. It also has a line for a high capacity feeder of 1500 sheets. What are you trying to reference here? Are you looking for an additional paper source that hods up to 1500 sheets of letter paper? Yes, looking for additional letter sized paper capacity only.
As for the relocation of the devices, can you confirm that all 4 devices will need to be moved to the new location at the federal Center? Will they need to be moved at the same time or will it require multiple moves to complete? Last, does NPS expect this to be performed at the contractors expense or will they be allowed to provide a quote and bill NPS for the moves? Yes, all four copiers will need to be moved to the Federal Center. Contractor should provide a quote for the additional costs for the move. It does not need to be at the contractor's expense.
In regards to the maintenance, would NPS be open to a flat rate maintenance plan? This would be easier to manage in regards to CLIN structure while still providing the same exact level of service. Just bare in mind that meter reads would still need to be collected on a monthly basis for analytical purposes. Yes, a flat rate maintenance plan would be acceptable.
On the SOW Item 4, Section I Quote ….there is a line 10 that seems incomplete. Please advise if there is additional information requested on this bid and this line. This is an error on the SOW, please disregard.
