7.1.2 Describe the Offeror’s process for responding to RFPs.
Example Vendor’s process for responding to RFPs follows industry best practices promulgated by Sample Nationwide Expert Entity (“SNEE”). Example Vendor’s team also utilizes standard operating procedures (“SOPs”) to ensure all staff comply with SNEE best practices when responding to RFPs. These processes include:
a) Reviewing the entire RFP document carefully and making a list of any requirements.
b) Collaborating with internal Example Vendor teams, including fiscal, risk management, information technology, operations, and sales to ensure all areas review the requirements and provide answers. If concerns about a requirement are discovered, the Example Vendor team that discovers the concern emails all other teams to identify the concern and propose solutions.
The teams then coordinate to provide an answer to the RFP drafter, who edits the answers and finalizes Example Vendor’s response. This ensures all questions are answered by the appropriate subject matter experts.
c) Editing and formatting the response. The RFP drafter and members of Example Vendor’s marketing and copywriting teams clean up the draft documents and ensure the RFP response conforms to Example Vendor’s brand standards.
d) Executive sign-off. The RFP drafter provides the final draft to the Regional Sales Director and Chief Operating Officer (“COO”) for review and sign-off. The Regional Sales Director signs the introductory letter and approves submission of the Proposal to the requesting entity.
The SOPs mentioned in this response may be found in Example Vendor’s uploaded documentation in the “Additional Information – Technical” category under the label “Exhibit A” on page 35.
