Questions and Answers for RFQ# 1232SA26Q0103

Q: Can you please provide the filter sizes and the quantity?

A: 18”x24”x2”; 32 filters required MERV 10.

Q: Do we need an extension ladder to access the roof?

A: No

Q: The scope of work mentions ''Each quarterly service should include the following:'', however, the pricing table is requesting pricing monthly. Kindly confirm whether the service should be Monthly or Quarterly.

A: Pricing on “Attachment 3 - Quote Submission Form” was entered to be quoted as monthly because there is no “Unit of Issue” available in our system for quarterly and to ensure the invoicing system of all potential vendors would be accommodated.

Q: Can you please provide the specific filter sizes, MERV ratings, and quantities required, as well as the belt specifications for the 17 exhaust fans listed in the PWS?

A: 18”x24”x2”; 32 filters required MERV 10. All exhaust fans may require different size belts

Q: Can you please clarify the measurable criteria for "100% operation" regarding the condenser coil cleaning task?

A: Coils must be cleaned to 100%. The coils on this unit are micro channel condensing coils and acid-based coil cleaners cannot be used to clean the coils. Industry standards on coil cleaning are determined by refrigerant pressures on the unit. This unit is in harsh environment conditions because of the agriculture in this area and cleaning the coils is essential for optimum operation.

Q: Can you please confirm the preferred documentation to demonstrate "Nortek authorized" status?

A: If your company can perform warranty work for Nortek. Written documentation from Air

Tech stating that that they are authorized by Air Tech corporation to perform service work on Nortek equipment.

Q: Can you please clarify the misalignment between the monthly units in the Price Schedule and the quarterly service frequency in the PWS?

A: Pricing on “Attachment 3 - Quote Submission Form” was entered to be quoted as monthly because there is no “Unit of Issue” available in our system for quarterly and to ensure the invoicing system of all potential vendors would be accommodated.

Q: Can you please provide the incumbent contractor's name and previous contract number for this requirement?

A: The incumbent contractor is Riverbend Air Conditioning, Inc and the previous contract number is PO# 12405B24P0002. Due to the Government shutdown (10/01/2025 – 11/12/2025) the deadline to exercise Option Year 2 of the PO passed and as a result all remaining options expired necessitating the requirement being recompeted.

Q: Can you please provide the location for the subjected solicitation?

A: The location is provided on “Attachment 2 - Statement of Requirements (0004)”.

Q: Where was the equipment purchased from?

A: Air Tech

Q: We noticed that several required attachments appear to have been deleted or are no longer accessible. Would you kindly be able to provide copies of the missing documents so we can ensure our quote is complete and fully compliant?

A: The deleted documents were updated and the updated versions (i.e. those with “(0001)” and “(0004)” in their title) are included in the Attachments/Links section of the amended solicitation on SAM.gov.

Q: What is the cooling potential for the main unit in BTUs?

A: Not relevant, this information is not needed for this service contract.

Q: Are there blueprints/spec sheets for the building?

A: Not relevant, this information is not needed for this service contract.

Q: What is square footage of building?

A: Not relevant, this information is not needed for this service contract.

Q: Is the main unit belt driven or direct drive?

A: The HVAC unit is direct drive, and the fume hoods and exhaust fans are belt driven.

Q: Are the restroom fans included in the contract?

A: Yes

Q: Is the boiler included in the contract?

A: No

Q: Where is the water access for roof?

A: The water supply is on the east side of the building by the mechanical room. The contractors will have to provide the water hose and connect the water hose to the faucet to service the coils on the roof.

Q: Do the belts on the exhaust fans and 3-ton unit need to be replaced as part of the maintenance? If they need to be replaced as part of this contract, can you clarify the frequency of belt replacement under the contract?

A: All belt tensions on the exhaust fans and the 3-ton unit will need to be checked and if belts show signs that they have damage the belts will have to be replaced by the contractor. The contractor will be responsible for all the costs of the belt replacements required.
