About this file

This is a Cost Proposal Worksheet for the Incorporated County of Los Alamos Procurement Division for RFP26-54, the Los Alamos Summer Concert Series. The County is seeking proposals for event production of the Los Alamos Summer Concert Series for four calendar years (2027-2030) with potential renewals of up to three additional years. The successful respondent will plan and arrange five large-scale concerts and ten small-scale concerts annually, with all concerts remaining free to the public and family-friendly. The series emphasizes diverse, quality music while maintaining a small-town feel and attracting both residents and tourists. Marketing efforts must promote the "Los Alamos Summer Concert Series" brand throughout the contract term.

The cost proposal requires offerors to identify anticipated funding sources beyond the County's $80,000 annual allocation, including in-kind donations and sponsorships, and to detail how each funding source would cover specific expenses. Offerors must provide pricing for the County-funded portion for years two through seven of the contract. The worksheet requires offerors to demonstrate their capacity by providing examples of opening acts and headliners for six different concert scenarios with projected attendance figures, describe their marketing and promotional philosophy, explain their experience handling performer cancellations and operational challenges, and articulate their competitive differentiators. Travel expenses, if proposed as direct reimbursable costs, are limited to coach airfare, ground transportation, lodging not exceeding $250 per night, meals per County policy, and other reasonable business-related costs, with receipts required for lodging and airfare reimbursement.
