About this file

This is a user guide for the DPW (Directorate of Public Works) Manager role within the Army Maintenance Application (ArMA), a web-based system accessed at https://dpw.armymaintenance.com. The guide, version 3.0 prepared by SOFTACT Solutions, LLC in October 2021, is classified for official use only and serves as instructional documentation for DPW Managers overseeing maintenance operations at Army installations.

The guide covers eight primary management functions: monitoring casework through customizable dashboards that display metrics for emergency cases, urgent cases, routine cases, and cases exceeding 30 days; publishing resident announcements with flexible formatting, scheduling, and audience targeting options to garrison residents; creating enhancement requests for platform improvements subject to IMCOM review and approval; customizing garrison-specific DPW information on the resident portal including office names, phone numbers, business hours, and Digital Garrison links; adding and updating DPW Clerk user accounts with role-based access controls, including a 35-day inactivity lockout policy; assigning clerks to clerk groups to grant case access; promoting customer accounts to DPW user status; and maintaining unit records with standardized naming conventions. The guide emphasizes that users must belong to clerk groups to access cases, provides guidance on the 72-hour triage queue process for maintenance requests before automatic transfer to GFEBS, and notes that generic or "Other" unit designations are prohibited and will be removed by IMCOM program managers.

Ability to search for a group

If a clerk accidentally registers for a customer account (this may happen when they originally try to log in with CAC), they can be promoted to a DPW user by a DPW Manager, as long as they selected the DPW Unit for their garrison when updating their account.

For Official Use Only Page 9

• In the filter navigator locate and click ‘Customers’

• Find the customer you want to upgrade to a DPW user (use * followed by name for simpler locates)

Click into the customer record

• Under related links, click ‘Promote to DPW Clerk group’

*This only works for customers in the garrison DPW Unit*

NOTE: This will put the selected user into your DPW group. This will delete their customer account and they will get a new view. If the selected user wants a customer account, they should create a new account with a personal email address.

Unit Maintenance

• DPW Manager can view all units

• DPW Manager can only add/modify units for their installation

• Unit naming conventions have been standardized world-wide. Any new or modified unit names should remain consistent in structure, abbreviations, and capitalization.

• Generic or “Other” units are NOT permitted within ArMA. If created, groups of this nature will be removed from ArMA by the IMCOM ArMA Program Managers.
