About this file
This is a pre-bid meeting agenda for the Oregon Department of Transportation (ODOT) Region 4 Bend Building K Dispatch Consoles project, RFCQ No. S-73000-00017851. ODOT seeks to procure, deliver, and install six new dispatch consoles to replace existing workstation equipment in a 24/7/365 dispatch operations facility. The consoles must meet specified technical requirements regarding footprint, ergonomics, technology support, cable management, and durability, with all components, accessories, and structural or power-distribution elements provided by the selected supplier. The voluntary pre-bid meeting is scheduled for September 28, 2026, with a question deadline of October 2, 2026, and bid closure on October 8, 2026, at 2:00 PM. Preliminary bid results will be posted within one to two days of closure, with an intent to award posted within five business days. The project has a substantial completion deadline of June 15, 2027, and final completion by June 30, 2027. Work is to be performed on weekdays between 6:00 a.m. and 6:00 p.m., with off-hours work requiring specific vendor request and project manager approval.
Award will be made to the lowest bid meeting technical specifications, with ODOT reserving the right to award one of two additive alternates or neither based on available funding constraints. If additive alternate 10.2 or 10.3 is selected, the project becomes subject to prevailing wage requirements under BOLI with vendor compliance and reporting obligations. Bidders must submit pricing through OregonBuys, complete four required questions, execute the Form A-1 Offeror Information and Certifications Form, and agree to all terms and conditions without exemptions. All submittals, including shop drawings with complete parts and equipment lists, must be loaded into OregonBuys and are subject to ODOT review and approval before material ordering. Physical samples are not required at the time of bidding but may be requested during the submittal phase. Consoles must comply with current ADA requirements for height adjustability and reach zones. ODOT will provide dumpster facilities, electrical and data connections through its own personnel, and will not be responsible for vendor equipment or materials security on-site.
