User files

Find, upload, preview, download, edit, and manage files uploaded, generated, or saved inside your workspace.

Click User Files, or open GovTribe, expand the sidebar if it is collapsed, expand Files, and click User Files.

User Files is available on Launch, Launch Plus, Growth, Growth Plus, and Scale.

Search user files

For reusable guidance on quotes, required terms, alternatives, exclusions, grouped terms, and choosing between modes, see Choose a search mode and write queries.

  • To find a saved proposal asset, search "capability statement", then add Tags or Created By filters.
  • To review a specific report or deliverable phrase, search "pipeline report", then sort by Last Updated.
  • To find files tied to a known review topic, search "proposal review", then add Pursuit or Format filters.
  • To locate saved research on a topic, search "market analysis", then add Created or Last Updated filters.
  • To find files created from pursuit research, search documents generated from recent pursuit research, then add Pursuit or Tags filters.
  • To find team materials about an agency or market, search research files about upcoming facilities opportunities, then narrow by Created By or Tags.
  • To review presentation or briefing drafts, search presentation drafts for a proposal review, then add Format filters.
  • To find files that explain a customer's requirements, search documents describing customer needs and win themes, then narrow by Created By.

Actions

Page actions

  • Add File opens Upload Files, where you can choose a file and optionally associate it with a Pipeline and Pursuit before uploading it.
  • View Favorites applies your favorited-file view so you can review workspace files you marked for later.
  • Export Search Results exports the current User Files result set after you narrow it to the files you want to review outside GovTribe.
  • Share Search shares the current User Files search with another GovTribe user who can access the workspace.
  • Open the file title opens the User File detail page for the selected file.
  • Similar finds files that resemble the selected workspace file. Similar can be unavailable when GovTribe does not have enough similarity context for that file.
  • Add Favorite or Remove Favorite marks whether the file should appear in your favorited-file review.

Result-level actions

  • Edit opens the file-edit modal for fields your account can change.
  • Add Favorite or Remove Favorite marks the open user file for later review.
  • Download downloads the selected workspace file when your account can access it.
  • Delete opens a confirmation modal before removing the user file from the workspace.

Review a user file

User file examples

A user file is a workspace file that was uploaded, generated, or saved by your team. Open a user file from the result card when you need to preview the file, check its summary, download it, edit metadata, or remove it from the workspace.

Preview, download, edit, and metadata

The detail page can show a summary, file preview, format badge, file metadata, and similar files. Preview availability depends on the file type and whether GovTribe can render the document in the browser. Use Download when the preview is not enough or the browser cannot display the file format.

Workspace visibility and linked context

User files belong to a workspace. A file appears in User Files when it is visible in the current workspace and your account can access that workspace. If you are in a different workspace, do not have access to the file, or the file is hidden from file discovery, it may not appear in this search page even if it exists elsewhere in GovTribe.

Files generated from GovTribe AI can also appear in User Files. When a file is connected to a GovTribe AI conversation, the file detail page can show the linked conversation context.

Use company assets with GovTribe AI

User Files can hold reusable company assets that GovTribe AI can reference when your account has access. Useful assets include capability statements, past performance summaries, proposal outlines, debrief notes, pricing notes, market analysis, project descriptions, certifications, and approved boilerplate.

For best results, use descriptive file names, add tags when your team uses them, and associate the file with a pipeline or pursuit when the asset belongs to a specific capture effort. Then ask GovTribe AI to use the file type, tag, pursuit, agency, or topic in the prompt.

Compare this solicitation against the proposal outline saved in User Files and flag sections that need to change.

GovTribe AI can only use files that are available to the workspace, visible to your account, and accessible through supported file workflows. For AI context settings, see Settings and personalization. For capability boundaries and verification guidance, see GovTribe AI capabilities and limits.

The current User File detail view only exposes the Overview tab. Use the overview content, similar files widget, file summary, preview, and visible workspace links for related context.

What is the difference between User Files and Government Files?

User file data type records are files uploaded, generated, or saved inside your workspace. Government files are source documents GovTribe collects from government records, such as solicitation attachments, amendments, notices, award documents, application materials, and supporting PDFs.

Why can I only see files for this workspace?

User Files is a workspace feature. The page searches files available to the selected workspace, so switching workspaces can change the result set, available pursuit links, and files you can open or download.

Why is a file I expected not showing up?

Check the active workspace, filters, search mode, and sort. A file may also be hidden from file discovery, associated with a different workspace, unavailable to your account, or outside the current filters for creator, pursuit, tag, format, created date, last updated date, or size.
