Billing
Review your plan, payment method, upcoming charges, billing contacts, and invoices.
Open Billing from the user menu or the Account group in Settings. The Account Owner and Administrators can manage billing.
Subscription and payment
Subscription & payment details shows your plan, paid seats or user capacity, renewal or cancellation date, payment method, and billing address. Use Change plan to compare available plans, or Manage seats to add or remove people. Trial and canceled accounts show the applicable purchase or reactivation action.
Some Enterprise, legacy, and externally managed accounts need GovTribe's help for plan changes. Follow Contact support or the Sales action shown for your account.
Use Update payment method to open the secure payment-provider form. Self-service checkout and the customer portal offer cards and supported wallets, without a bank-account option. Enterprise invoice arrangements can differ. Use Update billing information for company and address details. Return to Billing and check that the new information appears. If the page reports a pending payment or authentication step, complete that step; changing a saved payment method alone does not prove an outstanding invoice was paid.
Upcoming charges
Upcoming charges estimates the annual subscription renewal and other upcoming charges, including pay-as-you-go when applicable. Review the billing date, discounts, and any monetary account credit. Estimates can change with seats, usage, discounts, and taxes; the issued invoice gives the final amount.
A monetary account credit reduces future invoices. It does not add credits for GovTribe AI or MCP. For example, removing a paid seat can create an account credit for unused subscription time while leaving the remaining included AI credits available until their original expiration.
Credits and spending controls
The credit summary shows your current balance and monthly usage. Use Buy credits or View usage details to continue in Credits & usage.
Spending controls includes the credit-enabled setting, pay-as-you-go, auto-refill, the monthly pay-as-you-go cap, and monthly limits by person. See monthly spending controls for what each limit counts and when it resets.
Billing emails
Under Billing emails, choose Edit. Enter the Primary billing email, add any Additional billing emails, and save. Recipients do not need GovTribe accounts. Adding a billing recipient does not give them access to account settings.
| Recipient | Messages |
|---|---|
| Primary billing email | GovTribe billing messages and messages sent directly by the payment provider. |
| Additional billing emails | Copies of billing messages sent by GovTribe. Payment-provider emails go only to the primary address. |
GovTribe billing messages include invoices, receipts, failed-payment and cancellation notices, credit balance and usage alerts, and auto-refill updates. These are separate from personal opportunity and pipeline Notifications.
New accounts start with the original owner's email saved as the billing contact. Changing the account owner does not update billing contacts automatically. Review the primary address and additional recipients when people change roles. If the page reports that the payment-provider update is pending, recheck it before relying on delivery to the new primary address.
Invoice history
Invoice history lists paid invoices with a total above $0 and eligible unpaid Enterprise invoices, newest first. Review the date, description, status, and amount. Descriptions can show the seats or service period covered, included-credit terms, discounts, and account credits applied.
Use the actions beside an invoice to open its hosted invoice or payment page, or download its PDF when available. The hosted page provides the payment and receipt information available for that invoice. Use the page controls to see older invoices.
If GovTribe says the table contains previously loaded invoices, recent payments may not yet be reflected. Retry a failed load or refresh after payment completes. Contact Customer Success if a charge remains unexplained.
Invoice history is separate from History, which records changes to users, security, plans, billing, and credits. Use invoices for payment documents and History to understand what changed and who made the change.
Cancellation and reactivation
The Danger zone offers Cancel subscription when your account supports self-service cancellation. Review the access end date, continue to the payment provider, and confirm there. Your account keeps access until the displayed end date, the plan will not renew, and unbilled pay-as-you-go usage is still invoiced.
Before the cancellation date, Reactivate can remove the scheduled cancellation. Review the renewal date, amount, and payment method. This reactivation does not charge you immediately or create another annual credit allowance; seats and existing work remain as they are.
An already expired account can require a new purchase or support assistance. Follow the action shown on Billing rather than assuming the pre-expiration reactivation terms apply. See Manage renewals, cancellations, and invoices for recovery steps.
