About this opportunity

The Town of Mooresville, North Carolina, is seeking a vendor to provide and install a comprehensive theater cinema video system for the Charles Mack Citizen Center's Joe V. Knox Auditorium. The procurement involves supplying specific equipment including a 10,000-lumen laser projector with 1920x1200 resolution, video switcher, audio extraction system, Bluray disc player, and associated mounting and connection hardware. Vendors must integrate the new system with the existing QSC Q-SYS sound/control system and provide a two-year on-site warranty. The request for proposals (RFP) was released on February 12, 2024, with vendor questions due by February 15, 2024, and proposal submissions required by February 23, 2024, at 5:00 pm. The anticipated award date is February 27, 2024, with a contract start date of March 27, 2024. Evaluation will be conducted by a committee using a point-based scoring system across four equal-weighted criteria: suitability of proposed items, vendor's ability to modify equipment and processes, ability to meet project timelines, and overall proposal response.

The procurement appears open to all qualified vendors, with no specific set-aside designations mentioned. Vendors must be registered with the NC Secretary of State and provide a single account manager with governmental accounts management experience. The contractor will be responsible for scheduling installation around existing center events with minimal operational disruption. While no specific budget range is explicitly stated, the standard vendor contract includes provisions for insurance requirements, including $500,000 commercial general liability coverage. Vendors must submit monthly or quarterly invoices in Excel format with Net 30 payment terms and comply with various municipal contracting requirements, including non-discrimination policies, e-verify compliance, and adherence to local government contractual terms. The Town reserves the right to reject any and all bids, selecting the proposal deemed most advantageous to the municipality, which may not necessarily be the lowest-cost option.
