About this opportunity

The State of Maine Department of Motor Vehicles is requesting bids for systems furniture reconfiguration services covering approximately 83 workstations at its main office located at 101 Hospital Street in Augusta, Maine, with bids due January 20, 2009, and site visits available January 8, 2009 between 8:00 AM and 4:00 PM.

The scope requires reconfiguring existing Herman Miller systems furniture across the first floor while coordinating with carpet replacement. The vendor must maximize reuse of on-site modular panels, work surfaces, shelving, lighting, and connectors inventoried by BMV, and source any additional parts as new or like-new items matching existing trim and fabric. Design submissions and final floor plans must be delivered in Microsoft Visio format as unlocked files that become BMV property. The design must incorporate power and cable needs without power poles and accommodate functional areas including Hearings Examiners, Medical Records, License Information, Accidents and Financial Responsibility, and Court Records sections.

Installation is restricted to Fridays after 5:00 PM, Saturdays, Sundays, and Mondays if a holiday occurs, with all work completed by 3:00 PM Sunday or Monday to permit normal business-day operations. All work must be finished by June 30, 2009. The vendor must coordinate with SCS Inc., BMV technology staff, the carpet installer, and the project manager throughout execution. The vendor is responsible for packing, storing, and transporting unused parts, with remaining materials delivered to the BMV warehouse in China, Maine upon completion.

Evaluation favors the lowest responsible bidder considering best value to the State, including quality, conformity with specifications, delivery dates, and cost. The State is exempt from Federal and Maine State Sales and Use Taxes. Cash discounts of 20 days or more are considered in determining the low bidder. All transportation charges and freight are prepaid and borne by the contractor. Bids must be submitted electronically through the VSS system or faxed or emailed to Kathy Paquette at the Division of Purchases. Contact Jayne Despres at 207-624-9006 or jayne.depres@maine.gov to schedule a site visit, or Kathy Paquette at 207-624-7877, 207-287-6578 (fax), or Kathy.L.Paquette@maine.gov with bid inquiries.
