About this opportunity
The City of Altamonte Springs, located in Seminole County, Florida, has issued a Request for Proposal (RFP-25-010-RS) for Special Events Production and Annual Requirements. The procurement seeks an experienced event production contractor to collaborate on annual community festivities, including large-scale events such as Light Up the Holidays, Live Holiday Concerts, Santa Visits, and Red Hot & Boom (Independence Day celebration). The selected contractor will be responsible for comprehensive event production services, encompassing talent booking, stage management, audio-visual production, vendor coordination, security management, and logistical planning. Proposers must have at least seven years of general experience and three years of experience working with Florida local governments. The evaluation will be based on a 100-point scoring system, considering factors such as previous event experience, approach to engagement, proposed team, capacity to perform, and proposed fees. The proposal submission deadline is 11:00 a.m. on Friday, December 20, 2024, with a non-mandatory site visit scheduled for Friday, November 22, 2024, at 9 a.m. at Cranes Roost Park.
The RFP does not explicitly mention specific set-aside designations or restrictions for disadvantaged enterprises. The procurement is divided into three groups: Group A (Holiday Events), Group B (Independence Day Celebration), and Group C (Additional Public Events). The estimated annual budget for the contract is $470,000, broken down as $60,000 for Holiday Events, $350,000 for the Independence Day Celebration, and $60,000 for additional services. The initial contract term is one year, with options to renew for four additional twelve-month periods, totaling up to five years. Creative Meeting Management, LLC was recommended for the Group B (Independence Day Celebration) contract at $375,469.10, following an evaluation of three proposals, with two deemed complete and responsive. The city aims to select a contractor that can deliver high-quality, family-friendly entertainment designed to enhance community engagement and provide memorable experiences for residents and visitors. Interested vendors must register and submit their proposals through the VendorLink web application, which requires creating an account and downloading solicitation documents.
