About this opportunity

The City of Philadelphia is requesting quotes for furniture and seating products under micro-purchase RGR-FY27, with quotes due September 8, 2026 (today). The City will award as a whole or by line item, whichever serves its best interest, to the lowest responsive and responsible bidder; sellers must quote all items to be eligible for whole award consideration.

The scope includes specific furniture items with direct product links: one ergonomic mid-back mesh drafting chair from Staples, two Kid Comfort Collective modular wedge chairs in Navy Blue from Wayfair, one Kid Comfort Collective modular sofa 2-pack in Blue from Wayfair, and one additional item from School Outfitters. All shipping and freight charges must be included in quoted prices and cannot be modified post-award. Alternate products require brand and model number specifications with supporting documentation.

The total contract amount does not exceed $45,000, adjusted annually by CPI-U percentage change from January 1, 2020, to the most recently published index and rounded to the nearest $1,000. Contract term is 365 days from the effective date specified in PHLContracts. Delivery is FOB Destination to the Free Library facility at 600 West Girard Avenue, Philadelphia, PA 19123, directed to Lee Stokes. Payment follows delivery, City approval, and invoice submission via electronic deposit.

Sellers must submit electronically through PHLContracts.phila.gov and include a signed Consent and Authorization Agreement prior to quote closing; this is mandatory for responsiveness. Completion of required form fields, unit cost entry for each item, and acceptance of terms and conditions are required. Submission of the LGBTQ Applicant Data Form is optional. Sellers must maintain workers' compensation insurance at statutory limits, general liability insurance with $500,000 per occurrence, and automobile liability insurance with $300,000 per occurrence. Sellers must certify non-indebtedness to the City and compliance with Philadelphia business tax requirements. No delivery or services commence until department notification.
