About this opportunity
The City of Waynesboro, located in Burke County, Georgia, is soliciting proposals for a comprehensive phone services solution for all city properties through a Request for Proposal (RFP) released on February 19, 2025. The procurement seeks a vendor to provide, install, and support a new phone system that includes 53 total phone lines (48 main lines and 5 analog lines) with advanced features such as voicemail integration, call forwarding, call recording, desktop soft phone capabilities, and remote worker support. Proposals must be submitted by March 6, 2025, at 4:00 p.m. to City Hall, with a public opening scheduled for the same time and location. Evaluation criteria will focus on functional compliance, cost-effectiveness, vendor experience, solution scalability, and support services. Vendors must provide detailed pricing for hardware components, including desk phones and wireless handsets, software elements, installation costs, and ongoing maintenance fees. Vendors are also required to demonstrate experience with similar implementations and provide a comprehensive support plan with on-site remediation services. The city anticipates vendor selection on March 7, 2025, with system implementation expected to begin June 1, 2025, and mandatory onsite training for all employees.
The City of Waynesboro explicitly welcomes proposals from women-owned, minority, local, and disadvantaged contractors, emphasizing their commitment to diverse business participation. All contractors must provide an E-Verification affidavit with their written proposal, and the city reserves the right to waive informalities, technicalities, or reject any non-conforming or all proposals. Interested companies can obtain the complete RFP package from City Hall or the city's website at www.waynesboroga.com. Questions regarding the RFP should be directed in writing to Emma Mullis, Administrative Assistant, at emullis@waynesboroga.com. While no specific set-asides or funding sources are explicitly mentioned, the RFP indicates the project will be implemented at the Administration office located at 615 North Liberty Street in Waynesboro.
