About this opportunity
The City of Santa Fe's Central Purchasing Division is requesting bids on printing services for TOURISM Santa Fe's Annual Visitors Guide under an on-call price agreement, with bids due August 14, 2026 at 2:00 PM. A local-business preference of up to 6% applies to bidders holding a valid Resident Business Certificate with a Santa Fe address.
The scope encompasses all labor, materials, equipment, printing, bindery, finishing, packaging, shipping, freight, and delivery for a recurring annual publication. The baseline sample project consists of 175,000 copies of a 148-page publication (plus 4-page cover) with trim size 6 × 10 inches, 100# Gloss Book cover stock with matte UV finish, 50# Coated Groundwood text stock, 4-color process ink, and perfect binding; a gatefold map is optional. Delivery is split between TOURISM Santa Fe (75,000 copies) and Certified Folder (100,000 copies) during the second or third week of January. The vendor must confirm use of InSite Prepress Portal or a TOURISM Santa Fe–approved equivalent system for digital proof review and approval. Vendors must provide production capacity statements, estimated turnaround timelines, and a minimum of two references for comparable publication work.
The contract term is four years from final approval signature, with potential extension to a maximum of ten years. Pricing must be structured with fixed line-item costs for all components and remain fixed within each contract year; price adjustments are permitted once annually through mutual amendment supported by verifiable market-change documentation, provided increases do not exceed 10% per line item and do not expand vendor profit margins. Vendors must comply with Santa Fe and Santa Fe County living wage ordinances, provide Commercial General Liability insurance with $1 million minimum per occurrence and Business Automobile Liability with $1 million combined single limit naming the City as additional insured, and submit a Non-Collusion Affidavit. Written questions are due August 4, 2026 at 5:00 PM, with responses by August 7.
Opportunity text
The Official Santa Fe Visitors Guide is a high-visibility product for TOURISM Santa Fe as a planning tool for first-time visitors ordered in advance of their trips and as a sales tool at travel shows, public relations' conferences, and during site visits. It can be the critical first impression of the destination.
The City of Santa Fe is seeking a qualified vendor to provide printing services for the Annual Santa Fe Visitors Guide under an on-call price agreement. The Annual Santa Fe Visitors Guide is the recurring printed publication produced each year under this agreement, with the number of copies, publication dates, distribution destinations, and final page count established by TOURISM Santa Fe based on departmental needs at the time of production.
The awarded vendor shall furnish all labor, materials, equipment, printing, bindery, finishing, packaging, shipping, freight, fuel surcharges, taxes, and delivery services necessary to produce the Visitors Guide in accordance with the specifications in this ITB. It shall also confirm and share explicit details of their approval software. TOURISM Santa Fe requires confirmation of the vendor's use of either InSite Prepress Portal, a web-based platform that allows print buyers, designers, and printers to review high-resolution digital proofs, annotate corrections, and officially approve or reject pages over the internet or vendor-equivalent system (subject to TSF approval).
