CommUnityCare seeks qualified vendors to supply and deploy a mixed fleet of point-of-care ultrasound equipment consisting of three cart-based ultrasound machines (equivalent to TE7 Max specifications) and three handheld ultrasound devices with cordless dual-headed probes, along with comprehensive ancillary services including maintenance, warranty coverage, training, and Epic EHR system integration. The cart-based systems must include linear, curvilinear, and phased array probes; large 21.5-inch HD vertical displays; advanced imaging modes (B-mode, Color Doppler, Power/Directional PDI, PW Doppler, M-mode/Color M-mode, CW Doppler, and Extended FOV); AI/Smart tools; needle guidance capabilities; 256 GB SSD storage; Wi-Fi connectivity; and approximately two hours of battery life, while handheld devices must feature IP67 ingress protection with military-standard drop testing, mobile app capabilities for iOS and Android, linear transducers at 3-12 MHz with 8 cm depth, curved transducers at 2-5 MHz with 24 cm depth, and approximately 205-gram probe weight. Vendors must demonstrate healthcare industry reputation and experience with nonprofit organizations or Federally Qualified Health Centers (FQHCs), provide three corporate references from services rendered within two years, maintain current regulatory certifications and licenses, carry minimum insurance coverage of $1,000,000 per occurrence and $5,000,000 aggregate general liability, and ensure DICOM Store/Print/Worklist connectivity with documented cybersecurity artifacts, Epic integration capability, touchscreen functionality, advanced user management with role-based access and audit trails, and comprehensive training including applications training and super-user sessions. Pricing must reflect total cost of ownership covering equipment, accessories, warranty, preventative maintenance, training, deployment, and software integration, with evaluation criteria weighting compliance with specifications (20 points), total cost of ownership (15 points), ease of use (15 points), equipment portability and battery life (15 points), compatibility and connectivity with Epic and PACS systems (15 points), vendor healthcare industry reputation and experience (10 points), and data management with HIPAA compliance (10 points). Proposals consisting of one original, five copies, and one electronic copy on flash drive must be submitted by 2:00 PM Central Time on June 11, 2026, to the solicitation specialist at 2115 Kramer Lane, Austin, TX 78758, with a deadline for written questions set at May 19, 2026 and written responses provided by May 26, 2026; no pre-proposal meeting is scheduled.

No set-aside designations or restrictions limiting proposal eligibility to disadvantaged enterprises or specific organization types have been identified in this procurement, and no incumbent vendors or current contractors are listed. CommUnityCare reserves the right to negotiate price and terms with any or all bidders and may award to the bidder whose proposal provides the best overall value; finalists may be invited for interviews including product demonstrations, and best and final offers may be requested before award. The procurement requires integration with existing Epic EHR and PACS systems, and a specialized cart-based ultrasound system (Voluson S10 with C15RS and IC9RS probes) has been specified for the OB/Women's Health clinic location. All equipment must comply with regulatory certifications and cybersecurity requirements, including submission of SBOM/MDS2 documentation, DICOM conformance statements, and operation and maintenance manuals. The contract term and budget amount are listed as "To Be Determined" based on funding availability and satisfactory service provision, with potential future enterprise partner purchases through group discount opportunities to be addressed in vendor pricing submissions.
