About this opportunity

The William Floyd Union Free School District in Suffolk County, New York, is soliciting sealed bids for a comprehensive music instrument repair contract covering band (woodwind, brass, percussion), orchestra strings (violin, viola, cello, bass), and classroom (Orff) instruments. The bid seeks a qualified vendor to provide repair services for a one-year contract period from July 1, 2025 to June 30, 2026, with potential for two additional one-year extensions. Bidders must have been in business for at least five years, maintain a current New York State Business Registration License, and provide five verifiable references. The evaluation criteria will be based on 200 hours of labor and an estimated $3,000 in parts, with pricing calculated by multiplying the hourly labor rate by 200 hours, plus parts cost at an average percentage over list price. The bid is scheduled to be received until 2:00 p.m. on Thursday, April 3, 2025, with bids to be mailed to the District Office at 240 Mastic Beach Road. Bid specifications are available through the Empire State Purchasing Group website, and the contract will be awarded to the lowest responsible bidder.

The procurement does not specify explicit set-aside designations for disadvantaged enterprises. The bid includes provisions for comprehensive insurance requirements, prevailing wage rates, and right-to-know regulations. Vendors must complete several mandatory certifications, including a Non-Collusive Bidding Certification and an Iran Divestment Act Certification. The district reserves the right to extend the contract to other authorized governmental entities through a piggybacking clause, though such extensions remain at the vendor's discretion. The contract includes a provision for potential cancellation with 60 days' notice and may be extended based on the Consumer Price Index (CPI) for New York Urban Wage Earners and Clerical Workers. While a specific budget range is not explicitly stated, the initial evaluation is based on 200 labor hours and $3,000 in parts. The district maintains the right to reject any or all bids and will keep submitted bids binding for 60 days following the bid opening.
