The scope spans 19 ice cream product line items in various formats—low-fat cups, sherbet cups, fudge bars, sandwich items, push-ups, yogurt bars, and novelty items—all of which must be Smart Snack compliant with nutritional information provided. Vendors must maintain HACCP plans, carry current certifications or licenses as required, maintain a 98% monthly fulfillment rate on scheduled delivery dates, and provide sample products within five business days of request. Packing and transportation to the school delivery location are included on a freight prepaid basis, with invoicing due within 30 days of product receipt.
The initial contract term runs September 1, 2026 through June 30, 2027, with options for extension up to three additional months and renewal for up to four additional one-year terms based on vendor performance. Pricing shall remain firm throughout the contract period unless economic adjustments are mutually agreed upon; vendors may petition for price increases no more than twice annually based on third-party market bulletins, with decreases expected to pass through to the school. The school reserves the right to award to a single vendor or multiple vendors and to accept or reject any or all bids.
Vendors must provide debarment and suspension certifications, non-collusion affidavits, and compliance with federal civil rights requirements. Questions are due August 17, 2026. Records must be maintained for five years post-contract.
