This procurement carries a small business set-aside requirement.
The scope requires semi-annual inspections and testing conducted in November and May of each contract year, performed in accordance with NFPA 17A Standards by qualified personnel. The vendor must furnish all labor, materials, supplies, tools, equipment, insurance, permits, and fees. Fusible links must be replaced during each semi-annual inspection, and hydro testing of tanks must be completed as required by NFPA 17A Standards. All work shall be performed at the facility during hours designated by the Dietary Manager between 7:30 a.m. and 3:30 p.m., Monday through Friday, excluding holidays.
The initial contract term is five years, commencing December 1, 2026, through November 30, 2031, with a maximum total contract duration not exceeding ten years including any renewal or extension periods. Material costs are billed at the vendor's invoiced cost upon submission of supplier invoices; a line item for materials estimated at $10,000 for the contract term has been established, though this represents an estimate and not a guaranteed amount.
All vendor employees performing on-site work must pass security background checks and drug screening prior to performing services. No subcontracting is permitted. Vendor invoices must be submitted monthly or upon completion of services to the Big Muddy River Correctional Center Business Office and must be itemized with service dates, locations, and descriptions. The State will not reimburse travel time or expenses, and all services are to be performed as an F.O.B. destination arrangement with transportation costs included in the vendor's pricing.
