About this opportunity

The City of Dallas is soliciting bids for a five-year Indefinite Delivery/Indefinite Quantity (ID/IQ) agreement to procure fitness and exercise equipment along with maintenance and repair services for various city departments. The procurement seeks qualified vendors who are manufacturers or authorized distributors with a minimum of two years of experience in commercial-grade exercise equipment. Vendors must provide equipment purchases with firm discounts off manufacturer catalogs, parts and hourly repair rates, and per-item pricing. The successful vendor will be required to respond to service calls within 24 hours of notification and deliver equipment within 10 days of order placement. Bid submissions are to be made electronically through the City's procurement portal at https://dallascityhall.bonfirehub.com/login, with bids opened at 2:00 p.m. on Fridays. Bidders must submit a $100 bid security and provide lifetime warranties on equipment frames, five-year warranties on moving parts, and two-year warranties on control boards. The bid due date is January 30, 2026, with the contract commencing upon award by the Dallas City Council.

The procurement includes local preference considerations, allowing Dallas firms within 5% of the lowest bid for goods or services under $500,000 to be considered for award. Contracts valued over $50,000 are subject to a wage floor requirement of $23.06 per hour for employees performing services. Vendors must maintain comprehensive insurance coverage, including general liability, property insurance, and workers' compensation, with the City of Dallas named as an additional insured. The contract includes provisions for local workforce participation, with bidders required to complete a Team Make-Up and Local Workforce Form detailing their proposed staffing model and local workforce composition. While a specific budget range is not explicitly stated, the ID/IQ nature of the contract suggests flexibility in spending across various city departments. Potential bidders can review a pre-existing vendor list that provides a roster of qualified suppliers for fitness equipment and maintenance services. The procurement aims to establish a flexible, long-term agreement that can accommodate the varying equipment and maintenance needs of different city departments throughout the five-year contract period.
