About this opportunity

The Florida Department of Elder Affairs (DOEA) has issued Invitation to Bid (ITB) No. DOEA ITB-24-001-JT for hotel lodging, accommodations, and meeting space to support the Long-Term Care Ombudsman Program (LTCOP) statewide training. This procurement seeks a qualified hotel in the Orlando metropolitan area capable of hosting a multi-day event requiring up to 750 room nights across multiple dates. The successful bidder must have a minimum 4-star TripAdvisor rating and provide specific amenities including a safe parking lot, secure storage, event registration areas, meeting rooms, catering, and audio-visual equipment. Key deliverables include main conference rooms, breakout spaces, and comprehensive event support infrastructure. The ITB requires bidders to submit a comprehensive proposal covering all requested services, with bids due on November 18, 2024, and an anticipated award date of November 20, 2024. The contract will be executed through MyFloridaMarketPlace (MFMP), with the selected vendor receiving a purchase order for services.

No specific set-aside designations or restrictions for disadvantaged enterprises were explicitly mentioned in the provided documentation. The procurement appears open to standard commercial hotel providers meeting the specified qualifications. While no incumbent vendors were identified, the DOEA will reimburse costs on a monthly billing basis, suggesting flexibility in vendor selection. The total event budget is not precisely defined, but the scope encompasses up to 750 room nights and associated event support services in the Orlando area. Bidders must comply with state tax exemption requirements and the terms and conditions outlined in the ITB. The procurement represents a focused, single-event contract for hotel and conference services supporting the state's elder affairs training program, with potential for future similar engagements depending on program needs and vendor performance.
