About this file
This document contains questions and answers related to Invitation to Bid (ITB) No. DOEA ITB-24-001-JT issued by the Florida Department of Elder Affairs (DOEA). The ITB seeks a hotel to provide event space and accommodations for a single multi-day event. Key details include:
The event requires a main conference room, breakout rooms, and up to 750 room nights across multiple dates. Specific room types, AV equipment, meal service, and parking requirements are detailed in the ITB. The event will be held in the Orlando metropolitan area, and bidders must submit a single bid covering all requested services. The DOEA does not intend to expand the event to additional markets beyond the listed Orlando area.
The DOEA will provide payment on a cost reimbursement basis, and there are no specific invoicing requirements beyond monthly billing. Setup and takedown times must adhere to the schedule outlined in the ITB, but the DOEA does not require any additional event support staff from the selected hotel. The DOEA is not considering any additional services or event modifications at this time.
