About this opportunity
The Florida Department of Elder Affairs (DOEA) has issued an Invitation to Bid (ITB) to secure competitive bids from qualified bidders to provide hotel lodging, accommodations, and meeting space. The DOEA requires 40 rooms on April 17, 2023, and 200 rooms each on April 18-19, 2023, with the ability to cancel up to 24 hours prior to check-in at no charge. The ITB also requests audio/visual equipment and a secure storage room. Bids are due by February 6, 2023 at 2:00 p.m. Eastern Time, and the DOEA anticipates posting the recommended award on the same date. The ITB requires bidders to provide a nightly room rate that includes any parking and resort fees, and notes the State of Florida is exempt from paying federal excise and state sales tax. The DOEA will assess financial consequences of $100 per calendar day for late or failed performance. Bidders must be located in Orlando, St. Petersburg, Clearwater, or Tampa, Florida and have a minimum 3-star rating on Expedia.com.
The ITB does not specify any set-aside designations or restrictions on the types of organizations that can respond. The incumbent vendor or current contractor is not identified, and the ITB does not mention any existing infrastructure or technology that requires integration. The possible award value or budget range is also not provided.
