About this opportunity

The City of Philadelphia is soliciting quotes for color printer maintenance under micropurchase B2727059, with quotes due June 10, 2026. This is a requirements contract limited to $43,000 (adjusted annually by CPI-U from January 1, 2020) with a term of 365 days from the effective date and no renewal options.

The contract will be awarded to the lowest responsive and responsible bidder. Sellers must quote all line items to be eligible for award and may not deliver or provide services until notified by the department. The City reserves the right to award the contract as a whole or by line item, whichever is in its best interest.

Quotes must be submitted electronically through PHLContracts.phila.gov prior to the submission deadline. Each vendor must have a Consent and Authorization Agreement on file with the City of Philadelphia Procurement Department — either attached to the vendor profile during registration or included with the first submitted quote. Failure to comply with this requirement may result in the quote being deemed non-responsive. Signature requirements vary by entity type: corporations require signatures from both a President or Vice President and a Secretary, Assistant Secretary, Treasurer, or Assistant Treasurer; limited liability companies, partnerships, and sole proprietorships require signatures from partners, owners, or other duly authorized signers.

Pricing must be submitted as net, exclusive of taxes, on an FOB Destination basis. Standard insurance requirements include workers' compensation at statutory limits, general liability at $500,000 per occurrence, and automobile liability at $300,000 per occurrence. Sellers must not be indebted to the City for delinquent taxes, liens, judgments, or other debts without an established payment plan. Payment is made via electronic deposit following delivery and City approval. The LGBTQ Applicant Opportunity Data Form is optional. Vendors requiring assistance may contact PHLContracts@phila.gov.
