The solution must support approximately 40–45 internal users, up to 225 guest users, and 2 administrators. Key deliverables include project management software with custom workflow building and strategic goal-tracking dashboards, live training during initial implementation, migration support from current platforms (Asana and ClickUp), and ongoing support through videos and help desk resources. Mandatory minimum requirements include a minimum of 5 years' experience with successful project migrations (3 examples required); integration with Zoho, Microsoft Office Suite, Microsoft Teams, Zoom, WebEx, DevOps, and Power Automate; encryption at rest and two-factor authentication; data storage within the United States; single sign-on capability; no additional charges for AI integration; and assistance with migration and live training at no extra charge for guest users.
The anticipated contract term does not exceed four years, with a desired start date of October 20, 2026. Respondents must submit detailed pricing that remains firm during the initial contract term, including all costs for licensing, training, consulting, migration, and implementation. Quote responses must include a Response Sheet with pricing, a narrative demonstrating ability to meet requirements, a completed Vendor Accessibility Questionnaire, and a W-9 form. Service-Disabled Veteran-Owned Small Business (SDVOSB) respondents must submit U.S. Small Business Administration certification documentation. Award will be made to the responsible respondent whose acceptable quote is most advantageous to the State, with price being the primary consideration. Vendors must certify Web Content Accessibility Guidelines (WCAG) 2.1 Level AA compliance and submit a completed VPAT 2.5 WCAG document if not fully compliant.
