About this opportunity

The State of Maine, Division of Purchases, Central Warehouse is soliciting bids for calculators, adding machines, and related equipment under a master agreement with bids due July 22, 2010. The contract period runs September 1, 2010 through August 30, 2011 with potential for two one-year extensions.

The scope includes calculator line items such as the Canon MP25DV 12-digit with 2-color print capability, the Swintec 4600DP heavy-duty 12-digit model, replacement ribbons in black/red and black options, a handheld adapter, and the Canon CNM-LS100TS solar/battery-powered handheld calculator (noted as a new item). The State will consider approved equivalents for specified brand-name items when bidders submit complete descriptive documentation of alternative commodities of equivalent quality and performance.

Prior-year spending against this contract was approximately $12,200. Pricing must be net, inclusive of all transportation and delivery charges fully prepaid by the contractor, and remain firm for the contract duration. Delivery must occur within 2–5 business days of order receipt on 40 x 48 non-exchangeable pallets to the Central Warehouse at 85 Leighton Road, Augusta, Maine, with receiving hours 7:30 a.m. to 3:30 p.m., Monday through Friday. Non-palletized shipments may be rejected or subject to a 10% penalty charge of the total order value.

The State requires acceptance of the Maine Procurement Card as a payment method with no surcharges permitted. Contractors must provide monthly reports by the first week of each month detailing purchases by agency, order date, quantity, and dollar amount. Awards will be made to the lowest responsible bidder offering best value, evaluated on quality, specification conformance, delivery date, and ultimate cost. In tied-bid situations, preference is given to in-state bidders or those offering Maine-produced commodities. The Division reserves the right to make a single award or split awards and to cancel with thirty days' written notice.
