This is a five-year term contract with no guaranteed minimum compensation.
The scope includes on-site annual preventive maintenance performed by certified engineers, telephone and email technical support, and repair services delivered Monday through Friday, 8:00 a.m. to 5:00 p.m., excluding state and federal holidays. The contractor must respond to service notifications within 24 hours and complete on-site service calls within three business days unless otherwise agreed. Parts must be warranted against defects for a minimum of 90 days and replaced within two weeks of notification at no cost to DPS. All work requires prior written authorization from DPS, with detailed documentation of repairs required.
Bidders must submit itemized pricing on a mandatory schedule covering Bronze Services Agreements (7 units annually), hourly repair rates, and parts costs with negotiated markup percentages. Responses must be submitted electronically to DPS_Solicit_Response@dps.texas.gov or via the DPS Online Bid Room by 5:00 p.m. Central Time on August 12, 2026.
Contractors must provide evidence of financial resources and ability to perform, comply with comprehensive cybersecurity and IT standards requirements including TX-RAMP and FedRAMP compliance, maintain appropriate insurance coverage, and be subject to criminal history background checks for personnel. All personnel with DPS data access must undergo fingerprint-based background checks. The contract is subject to liquidated damages of up to $500 per business day for failure to complete scheduled preventive maintenance without notification of delays. DPS retains the right to extend performance for up to six months for re-advertising or transition purposes and reserves termination for convenience rights with 30 days' notice. Evaluation will be based on best value and past performance.
