About this opportunity
The University of North Carolina at Chapel Hill is requesting proposals to establish multi-year University Term Contracts (UTCs) with multiple vendors for audiovisual and multimedia equipment, installation and integration services, and support services, with vendor offers due October 28, 2026 at 12:00 PM Eastern Time and written questions due October 7, 2026. The University reserves the right to award contracts to more than one vendor and does not guarantee minimum purchase volumes.
Qualified vendors must have at least five years of professional audiovisual integration experience, employ at least two full-time installation staff, and field personnel holding CTS certification, PMP or equivalent project management certification, and control-system and DSP programming certifications. All vendors must be authorized resellers for manufacturers whose products they provide and comply with AVIXA standards for audiovisual systems.
The scope encompasses on-site installation, project management, design and engineering, programming, and support services billed at hourly rates (with separate rates for regular, after-hours/weekend, and holiday work) on a not-to-exceed basis. Equipment pricing is structured as a percentage discount off manufacturer's current list price, with University contract price never exceeding manufacturer's minimum advertised price. All equipment must be brand new with manufacturer's standard warranty of a minimum twelve months covering defective parts, labor, freight, and technician travel at no cost to the University. The pricing matrix covers 26 equipment categories including UC collaboration hardware, lighting controls, lecture capture systems, projectors, microphones, audio speakers, cameras, displays, and network-distributed AV systems, among others.
The University does not expect total contract value to exceed $1 million. The initial contract term runs through December 31, 2028, with the option to renew for up to three additional two-year terms through 2034. Contracts become effective January 1, 2027, or later. The contract may be utilized by affiliated UNC System institutions on a voluntary basis. Evaluation prioritizes conformity to specifications, comparative vendor offerings, pricing, reference strength, past performance, and associated risks. Responses and any addenda will be posted by October 21, 2026.
