The scope encompasses as-needed supply and delivery of audiovisual and technology equipment to schools and facilities district-wide, including charging carts, projection screens, projectors, televisions, interactive displays, tablets with digital pens, robots, 3D printers, large-format printers, document cameras, headphones, laminators, portable sound systems, scanners, and related accessories. All equipment must be new merchandise of equal or superior grade to specified brands and models. Replacement parts must be available for a minimum of five years after delivery. Bidders must provide manufacturer certification of authorized dealer status and warranty information.
The estimated contract value is approximately $2 million annually, excluding renewal options, though actual purchases may vary. The contract period runs January 1, 2027 through December 31, 2028, with options for two one-year renewals by mutual consent and the District's unilateral right to extend for up to three additional thirty-day periods at the same terms and conditions. All pricing must be F.O.B. destination with freight prepaid. Original bid prices remain firm for the initial contract term; price escalation or de-escalation at renewal is permitted not to exceed the previous year's Consumer Price Index for All Urban Consumers.
Bidders may respond on individual line items, groups, or aggregate totals; aggregate-total bids must include all items or be deemed non-responsive. The District reserves the right to award by individual line item, section, or aggregate total as most advantageous. Level 2 background screening is required for any contractor personnel with school access. All employees must comply with E-Verify. Mandatory insurance includes General Liability ($1 million per occurrence / $2 million aggregate for projects under $500,000), Automotive Liability ($300,000 combined single limit), and Workers' Compensation per Florida Statutes 440. The School Board must be listed as additional insured and certificate holder on all policies. The District will evaluate bids November 17–20, post Notice of Intent to Award December 8, and hold School Board approval December 15.
