About this opportunity

The Auraria Higher Education Center (AHEC), a Colorado state entity, is requesting quotes for an online ticketing and tour booking system for the Golda Meir House Museum at Metropolitan State University of Denver, with quotes due July 20, 2026 at 2:00 PM Mountain Time. An optional pre-bid conference is scheduled for June 24, 2026 at 1:00 PM Mountain Time via Zoom.

The platform must enable customers to browse, reserve, and purchase tickets and tours through a web-based interface with real-time availability scheduling, secure payment processing, mobile-friendly design, automated confirmations, and integrated reporting and analytics dashboards. The system must support self-guided admission, scheduled guided tours (1–25 attendees routine; 50–300 attendees for special events two to three times annually), school groups, private group tours, and optional donations. Point-of-sale functionality and ticket validation must operate on standard web browsers or mobile devices without dedicated hardware. The Museum anticipates approximately 10 internal users with role-based permissions. Vendors must demonstrate PCI DSS Version 4.0.1 compliance, WCAG 2.1 AA accessibility compliance, and submit a completed Voluntary Product Accessibility Template (VPAT). Three client references from similar booking or e-commerce platforms within the last two years are required.

The contract term encompasses implementation, training, and one year of software licensing. AHEC is not releasing a project budget and expects vendors to propose best value solutions based on stated requirements. Quoted costs must remain firm for 90 days from submission. Payment terms are Net 45 days from receipt of a correct and acceptable invoice.

Vendors must submit a completed Cost Sheet with all software, installation, one-time costs, and recurring costs; W-9 form; Vendor Mailing Address Form; current VPAT; PCI DSS Attestation of Compliance (AOC); and a sample certificate of insurance. Cyber liability insurance with minimum limits of $5,000,000 per claim and $10,000,000 general aggregate is mandatory. All work is contingent on a fully executed Purchase Order. Quotes are accepted via email to Brenda.ruiz@ahec.edu or through BidNet. The contract will be awarded on an all-or-none basis to the vendor deemed most responsive to AHEC's needs.
