About this opportunity

The National Renewable Energy Laboratory (NREL), managed by The Alliance for Sustainable Energy for the U.S. Department of Energy Office of Science, is seeking qualified subcontractors to provide, install, and maintain a comprehensive color printer/press system with print server/controller capabilities at their South Table Mountain Campus in Golden, Colorado. The procurement requires a high-volume printing solution that includes mandatory components such as a GBC hole punch with spiral and 3-hole capabilities, a booklet processor/finisher with 2-sided trimmer, an independent stapler, support for various paper types including coated and uncoated papers, duplex printing capability, and imposition software. Critical requirements include guaranteed on-site maintenance service with technician response within 24 hours and the capability for technicians to obtain permanent facility access credentials. Companies responding to this Sources Sought Notice must demonstrate experience with similar federal projects and provide rough order of magnitude estimates for monthly lease costs and maintenance, along with estimated lead times for delivery and on-call maintenance. Responses are limited to 2-5 pages and must be submitted to Rachel Province at ASP.Responses@NREL.gov by 5:00 p.m. MST on August 15, 2025.

NREL will consider implementing a total small business set-aside based on the volume of qualified responses received, though no set-aside designation is currently in place. The procurement follows a three-step process beginning with this Sources Sought Notice to build a qualified source list, followed by a Request for Qualification or Request for Proposals to qualified sources, and potentially concluding with proposal submissions including oral presentations for final selection. The contract structure includes a base period of 12 months with four one-year option periods, creating a potential total contract duration of up to 60 months if all options are exercised. Work is anticipated to begin with delivery by April 1, 2026, and the procurement falls under NAICS code 532420 for Office Machinery and Equipment Rental and Leasing. All potential awardees must maintain current registration in the System for Award Management (SAM), and the procuring entity specifically requests that the responding company serve as both the lease holder and maintenance provider without involving third-party maintenance entities.

Notice text

The objective of this Sources Sought is to identify potential subcontracting companies that are qualified and capable of meeting the project objectives. The project objective, at a high level, is to locate an entity that can provide a printer that matches the specifications required as shown in Attachment 1. In addition, maintenance for this printer will be needed. As part of this acquisition’s efforts, it is requested that the entity that responds to this notice will also be the long-term lease holder and will not have another entity maintain the lease.
