About this opportunity
Veterans Integrated Service Network 17 (VA North Texas Health Care System) anticipates awarding a Service-Disabled Veteran-Owned Small Business sole-source contract for preventive and corrective maintenance of ice machines, with responses due September 14, 2026.
Performance spans seven VA locations across North Texas: Dallas VA Medical Center (75 units), Fort Worth VA Clinic (12 units), Grand Prairie VA Clinic (2 units), Herzog Veterans Resource Center (2 units), and clinics in Plano, Polk Street, and Tyler (1, 1, and 2 units respectively). The fleet is predominantly Scotsman (42 units) and Follett (32 units) machines, with additional Manitowoc and other units to be verified at award.
The contractor must provide quarterly preventive maintenance including comprehensive cleaning, descaling, sanitation, water treatment component replacement, mechanical and electrical testing, and condition assessments. Corrective maintenance includes diagnostics, component repair or replacement, EPA Section 608–compliant refrigerant recovery and charging, and 24/7 emergency availability. Response times are tiered: Emergency (4 hours on-site), Priority (24 hours on-site), and Routine (72 hours on-site). The contractor supplies all labor, tools, materials, parts, water filters, gaskets, and consumables.
Contract period comprises one base year plus four optional one-year renewal periods. Personnel must be factory-trained on Scotsman, Follett, and Manitowoc machines and hold current EPA Section 608 certification. Compliance is required with OSHA, CDC, The Joint Commission, and VA infection control policies. Performance metrics require 95–98% acceptable quality levels across service completion, documentation, and equipment availability.
