About this opportunity
The Department of the Air Force's Air Education and Training Command, specifically the 502nd Contracting Squadron, is seeking a vendor to provide rental, delivery, and setup services for the Great Texas Freedom Fest at Fort Sam Houston on April 12, 2025. The procurement involves comprehensive event equipment including 575 white resin folding chairs, 126 6-ft rectangular tables, eight tents of varying sizes, and associated lighting and generator equipment. The Request for Information (RFI) aims to gather market research about potential contractors, with respondents required to indicate their business size and socioeconomic status such as Small Business, 8(a), HUBZone, EDWOSB, WOSB, or SDVOSB. Interested vendors must monitor SAM.gov for additional solicitation details, and all information submitted will be kept confidential within the 502nd Contracting Squadron. Potential offerors can direct questions to A1C Seth James via email or phone, with the response deadline set for February 26, 2025.
The contract opportunity is designated as a Total Small Business set-aside, using NAICS code 532284 for Recreational Goods Rental and PSC code W083 for equipment leasing. Specific delivery and setup requirements include having the 120x40 tent, 60x60 tent, and two 40x40 tents with corresponding furniture in place by 0800 on April 10, with remaining items to be set up by noon on April 12. Complete equipment removal is mandated on April 13 between 0800-1700 hours. The government will not reimburse any costs associated with RFI responses, and vendors are advised that this is a market research initiative and not a formal solicitation. No specific award value was disclosed in the pre-solicitation notice, but the complexity of the logistics and equipment requirements suggests a substantial procurement effort for the event's infrastructure needs.
