About this opportunity

The Defense Health Agency issued a sole-source procurement notice on September 15, 2026 for CensiTrac dental instrument tracking system subscription services at Shuttleworth Army Dental Clinic, Fort Irwin, California, with a response deadline of September 16, 2026. Only Censis Technologies LLC is authorized to provide the software licensing, security updates, upgrades, maintenance, configuration support, emergency technical support, utilization assessments, and training for CensiTrac, as the system is exclusive to that manufacturer and incompatible with any alternative tracking software.

Weed Army Community Hospital Sterile Processing Department currently operates CensiTrac; Shuttleworth Dental Clinic seeks to implement the same system to track medical instruments, ensure accountability, streamline processing workflows, and maintain sterilization documentation in accordance with Manufacturer Instructions for Use, Joint Commission standards, and Medical Treatment Facility standards. Proper instrument tracking reduces infection risk, retained-instrument incidents, and other adverse patient-safety events. The subscription includes Subscription Instrument Trac VHA Annex Base, CensiTrac Utilization Assessment, access to the Clinical Education team, complimentary conference registration, priority course registration, and customized on-site training.

A Notice of Intent to Sole Source closed on September 14, 2026, allowing potential vendors to submit capability statements. The procurement falls under FAR Part 12 Commercial Acquisitions and simplified acquisition procedures. NAICS 513210 (Software Publishers); PSC DH10 (IT and Telecom—Platform as a Service: Database, Mainframe, Middleware).

Notice text

Weed Army Community Hospital Sterile Processing Department (WACHSPD) currently utilizes CensiTrac to track medical instruments, while Shuttleworth Dental Clinic lacks an automated tracking system. The Dental Clinic will secure instrument accountability, streamline processing at WACH-SPD, and ensure that sterilization workflows are accurately monitored in accordance with Manufacturer Instructions for Use (IFU), Joint Commission standards, and Medical Treatment Facility standards. Continued technical and subscription support is required to maintain software security, configuration, and overall system functionality. Proper tracking of dental instruments is essential to ensure instruments used during procedures are appropriately processed and sterilized. Maintaining accurate records of instrument usage, repair, and sterilization provides a documented chain of accountability and reduces the risk of infection, retained instruments, and other adverse patient-safety events.

CensiTrac is only provided by one manufacturer, Censis Technologies LLC, and the company does not authorize any other company to provide services, equipment, or support to its products. Use of any other tracking software will not be compatible with WACH's systems.
