About this opportunity

The U.S. Space Force at Buckley Space Force Base is seeking to procure three self-contained relaxation wellness pods to support service member wellness and mental resilience. This Pre-Solicitation Notice is posted by the Department of the Air Force Space Command for informational and planning purposes to identify capable vendors and gather industry feedback. Key requirements include each pod must feature a minimum 40-inch high-definition display (1280 x 720 pixels) with subscription-free access to tranquil nature scenes, guided meditation sequences, and mindfulness-focused video content; user-selectable comfort options including integrated cooling fans and heated seating; biometric heart rate monitoring without storing personally identifiable information; and full or partial enclosure for privacy. The Statement of Need indicates no specific evaluation criteria are detailed in this Sources Sought phase, as this is a preliminary notice rather than a formal solicitation. Interested vendors must submit responses by April 8, 2026, and should direct all communications to 2d Lt Maurice Epps (maurice.epps@spaceforce.mil) or Lt Andrew Flamm (andrew.flamm.1@spaceforce.mil), and must address specific company information questions and provide feedback on the requirements outlined in the Statement of Need.

This opportunity is designated as a Total Small Business set-aside, limiting competition to small business entities, with no current incumbent or contractor identified in the pre-solicitation materials. No specific award value or budget range has been disclosed in this preliminary notice phase. The contractor must deliver and install all three relaxation pods within 60 days of contract award and provide all necessary personnel, materials, and equipment for delivery and installation. Each pod requires 8 feet by 10 feet of space, one standard 110V wall outlet, and CAT-5 network connectivity for software updates, with no special room construction or modifications needed. All contractor personnel must complete security screening and background checks per Buckley SFB requirements, with documentation submitted in advance to base security officials, and will be escorted by a designated government representative during the installation process. Standard commercial warranties will apply to the relaxation pods upon delivery.

Notice text

The purpose of this Sources Sought notice is for informational and planning purposes only, and to obtain a list of capable vendors and possible industry feedback. Please see attached Statement of Need for all requirements. Please include BOTH 2d Lt Maurice Epps email: maurice.epps@spaceforce.mil or Lt Andrew Flamm email: andrew.flamm.1@spaceforce.mil on all communications.

Please see below questions and include answers to them with your response to this Sources Sought notice.

COMPANY INFORMATION:

What is your company's name, address, CAGE code, and Unique Entity ID (UEI)?

Who is the best person to contact for follow-up questions?

Please provide their name, title, email, and phone number.

What is your company's business size (e.g., small business, large business)?

Do you fall under any socioeconomic categories (e.g., 8(a), HUBZone, Service-Disabled Veteran-Owned Small Business)?

STATEMENT OF NEED/REQUIREMENTS:

Are any specifications, terms, or requirements in the SON unclear, ambiguous, or overly restrictive? If so, please specify the section and your question.

Based on your experience, are there any critical components, processes, or features missing from the SON that are essential for a successful, fully functional relaxation pod? If so, please explain.

Are there any features listed that significantly drive up the cost for minimal benefit?

Would you recommend alternative features that provide a better "value" for relaxation and wellness (e.g., therapeutic lighting or audio instead of heated seats)?

The SON requires a subscription-free content library. Is this a standard offer? Does this model limit future content updates? Would you recommend a different model (e.g., a one-time content update service) to ensure the pods remain engaging over their lifespan?

What are the typical site preparation requirements for a product like this? (e.g., power outlet type/amperage, doorway/hallway clearance dimensions, floor weight capacity). Should these details be specified in the SON?

Do you have any recommendations for improving this Statement of Need to allow for a more accurate and competitive response?

TECHNICAL CAPABILITY:

The Government requires a commercial, off-the-shelf solution for relaxation pods that provide a multi-sensory experience designed to promote mental and physical tranquility. At a minimum, each of the three (3) pods must include:

Visual Relaxation Content: A high-definition (minimum of 1280 x 720 pixels) display of at least 40 inches.
